Requirements
  • You have a high school diploma; additional training in administrative or secretarial assistance would be an asset
  • You have significant experience as an administrative assistant
  • You are familiar with office management systems and procedures
  • You are comfortable using the MS Office suite, in particular Excel and PowerPoint
  • You are discreet and able to handle confidential information
  • You excel in time management and task prioritization
  • You are rigorous and have strong problem-solving skills
  • You are at ease in a bilingual environment (French and English), so you can communicate orally and in writing with your colleagues and our international partners
  • You have proven organizational skills and the ability to manage several tasks simultaneously.
Responsibilities
  • Maximize sales and marketing managers' time and travel: Optimize agendas, organize travel logistics, and manage expense accounts.
  • Plan and distribute annual calendar: Draw up and position meetings and seminars and distribute the calendar to the management team.
  • Organize meetings and events: Plan logistics, propose agendas, draft minutes, and organize one-off events.
  • Prepare and analyze documents: Make available and analyze the elements required for the director's activity.
  • Manage communications: Read and process e-mails from directors, alert to emergencies, and pass on relevant information.
  • Organize specific files: Take on additional tasks and manage specific files independently.
  • Support the team: Manage personnel administration, deal with team queries, organize meetings and follow up on requests.
  • Coordinate purchases and reception: Manage the entity's purchases, respond to requests, and welcome visitors.
Desired Qualifications
  • Additional training in administrative or secretarial assistance would be an asset.
