Requirements
  • Knowledge of university, sponsor, and departmental policies, procedures, and systems, including SIMBA, Workday, SAP Concur, and SIMS.
  • At least 2 years of relevant experience.
  • Ability to track and coordinate multiple projects.
  • Ability to work independently and function effectively in a team setting.
  • Successful completion of required background checks.
  • Applicants must be authorized to work in the United States.
Responsibilities
  • Oversee and perform daily operations for the Northeast Regional Center for Rural Development and initiate expenses for the Department of Agricultural Economics, Sociology, and Education.
  • Monitor grants to ensure spending and expenses are processed accurately, prepare quarterly and yearly financial reports for sponsors and the Board of Directors, and assist with preparing grant applications, including the annual Center grant.
  • Maintain records and assist with budget projections.
  • Ensure that all expenses are charged to the correct budgets.
  • Work independently and with the team to ensure compliance with College, University, and sponsor policies, including maintaining current knowledge of processes and procedures.
  • Work with internal and external university partners on support-payment expense details, subcontracts, consultants, travel, supplies, and salary.
  • Schedule and coordinate multiple monthly conference calls, take minutes, and distribute them.
  • Coordinate occasional meetings and workshops in various locations and formats throughout the Northeast.
  • Reserve meeting space and hotel rooms and arrange technical and information technology support.
  • Assist project colleagues with logistics and preparation for conferences, meetings, workshops, and webinars.
  • Review hotel and conference-center contracts.
  • Work with the procurement office and PSUbuy to execute and authorize contract agreements, authorize deposits, and fulfill payment of final meeting invoices.
  • Coordinate all aspects of meetings with hotel managers.
  • Correspond with stakeholders, speakers, and guests regarding meeting attendance, lodging accommodations, travel arrangements, and required paperwork.
  • Help prepare agendas, presentations, and handouts for meetings.
  • Maintain relationships with the Northeast Regional Center for Rural Development Board of Directors, Technical Advisory Committee members, Regional Rural Development Center faculty and staff, and College of Agricultural Sciences faculty and staff.
  • Initiate SAP Concur reports, purchase orders, non-purchase orders, invoices, and deposits for faculty, staff, and graduate students.
