Requirements
  • Vocational training, an apprenticeship, or equivalent experience in a related field.
  • Knowledge and skills developed through 5–7 years of work experience in a related job discipline.
  • Ability to satisfy the requirements for access to Argonne National Laboratory.
Responsibilities
  • Serve as the point person to assist ChemMatCARS users visiting the Advanced Photon Source and assist staff in scheduling user experiments.
  • Assist with outreach activities, including annual summer faculty-student research programs and workshops, and maintain and update the ChemMatCARS website.
  • Collect and analyze beamline statistics, including ChemMatCARS publications using EndNote, citations, and user demographics.
  • Process purchase orders and assist staff with expense reimbursement and GEMS reports.
  • Maintain spreadsheets for purchasing activities in Oracle and at Argonne National Laboratory across six accounts, and assist with accounting ledger tasks.
  • Provide expanded administrative support for construction of a second beamline for the next three years and for subsequent facility operations with doubled capacity.
  • Schedule and coordinate meetings and conferences, preparing faculty members by compiling data, statistics, information, and materials.
  • Coordinate and manage daily user operations and business needs of ChemMatCARS at the Advanced Photon Source and Argonne National Laboratory.
  • Prepare event expense summaries and arrange payment of incurred costs.
  • Provide administrative support for a leader, stay informed about program and initiative activities, and coordinate information flow from the leader’s office.
  • Initiate correspondence and other written materials under personal signature or for a leader’s signature, triage emails and telephone calls, and resolve routine and complex inquiries.
  • Perform other related work as needed.
Desired Qualifications
  • Proven experience as an administrative assistant or other relevant administrative support experience, including supporting faculty.
  • Background working in an academic unit and/or complex research university environment.
  • Familiarity with Argonne National Laboratory and its unique partnership with the University.
  • Familiarity with project management methodologies.
  • Proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Strong computer skills including calendaring, document management, database management, and spreadsheet skills.
  • Results-oriented planning, execution, analytical, and judgment skills, with the ability to advance organizational priorities.
  • Commitment to providing a high level of service and working in a team environment.
  • Demonstrated administrative, problem-solving, organization, and coordination skills.
  • Demonstrated excellent oral and written communication skills.
  • Excellent time management skills and the ability to handle multiple concurrent tasks within deadlines with minimal supervision.
  • Ability to prioritize urgent tasks while ensuring established deadlines are met.
  • Flexibility and adaptability to changes in workflow and procedures.
  • Ability to handle stressful, sensitive, and confidential situations and information with discretion.
