Requirements
  • A high school diploma and two years of relevant experience, or an equivalent combination of education and experience, are required.
  • Demonstrated customer service skills are required.
Responsibilities
  • Oversee and direct Physician Support employees in assigned divisions, including assigning work and providing guidance to physician support teams.
  • Coordinate and manage staffing plans, assignments, and daily work for the assigned Physician Support team.
  • Implement and monitor procedures to improve service levels and quality, and develop guidelines for prioritizing and assigning work.
  • Serve as a resource for complex physician support questions and assist with problem identification, quantification, and resolution.
  • Train, onboard, and monitor competencies for new staff as the primary preceptor.
  • Develop and revise division-specific training materials, standard work documents, policies, and procedures with cross-functional teams.
  • Identify and communicate scheduling and utilization improvement opportunities to access center and practice managers.
  • Perform quality assurance monitoring, prepare logs and management reports, and communicate accuracy results to staff and managers.
  • Investigate scheduling-error root causes and improve workflows with the Access Center leadership team.
  • Provide daily Access Center triage information and coordinate scheduling triage requests for assigned divisions.
  • Establish, implement, and monitor adherence to best practices and standards across divisions and departments.
  • Participate in recruiting, hiring, and promotion decisions; assist with performance evaluations; and complete documentation for hires, terminations, and other status changes.
  • Monitor and counsel staff regarding performance issues, adjust schedules and duties, approve time-off and overtime requests, and oversee time approval.
  • Perform physician support duties for complex requests, including coordinating urgent surgeries, paperwork, and cancellations.
  • Provide accurate and efficient customer service and perform other assigned duties.
Desired Qualifications
  • One year of leadership experience is preferred.
  • Experience with surgical or appointment scheduling software and electronic medical records is preferred.
  • Knowledge of medical terminology is preferred.
