Requirements
  • High School/GED or equivalent preparation.
  • Five years of related experience; a college degree may substitute for some years of experience.
  • Working to advanced knowledge of Microsoft Office Suite, including Word, Excel, and Outlook, and the ability to learn university financial and administrative systems.
  • Ability to process and monitor financial transactions, including purchasing, invoice payment, Pcard reconciliation, and receipt management across multiple department accounts.
  • Ability to work effectively with faculty, staff, and students across multiple departments with varying priorities and communication styles.
  • Ability to manage competing priorities and adapt quickly to different departments and work environments.
Responsibilities
  • Provide advanced administrative support and coordinate operations for multiple academic departments on a rotating or as-needed basis.
  • Handle confidential situations, resolve escalated problems, and serve as a primary resource for students, faculty, and staff across assigned units.
  • Explain and enforce department policies and procedures, research and resolve concerns, and act as a point of contact for internal and external constituents.
  • Coordinate purchasing and financial reconciliation, including course-material orders, supply requests, vendor invoices, Pcard reconciliation, expense reports, receipts, expenditure tracking, and financial reports.
  • Coordinate event and travel logistics, including capstone courses, seminar travel, faculty search processes, academic programming, speakers, venues, timelines, and deliverables.
  • Coordinate faculty and staff calendars and schedule complex meetings involving external groups and constituents.
  • Support administrative coverage at departmental office locations across building sites.
  • Produce and edit documents, reports, spreadsheets, presentation materials, correspondence, meeting agendas, and minutes.
  • Oversee databases and file systems, audit data, and compile reports for department leadership.
  • Oversee daily departmental operations, evaluate workflow, productivity, and customer service, and coordinate university services for technology, facilities, procurement, and other needs.
  • Coordinate shared or cross-departmental resources and provide general administrative and operational support based on current needs.
  • Support faculty searches, accreditation activities, and other special projects as assigned.
  • Train new support staff, student workers, and temporary help; provide direction, guidance, and feedback on work performance.
  • Prepare and monitor human resources and payroll transactions as needed.
  • Perform other duties as needed.
Desired Qualifications
  • A college degree, strongly preferred.
  • A bachelor's degree, strongly preferred, which may substitute for years of experience.
  • Strong attention to detail and the ability to maintain accurate records and independently follow through on tasks across a multi-department work assignment.
