Requirements
  • A high school diploma and four years of relevant experience in business management, public administration, or administrative services; or a bachelor's degree and two years of relevant experience in business management, public administration, or administrative services.
  • Ability to perform the listed physical functions, including frequent sitting, walking or mobility, bending, repetitive hand and arm movements, and continuous indoor work.
  • Ability to lift, carry, push, and pull objects weighing up to 15 pounds unassisted.
  • Ability to maintain corrected 20/40 vision, peripheral vision, hearing acuity, depth perception, and tactile sensory functions.
  • Ability to work outdoors in all weather and temperature extremes, in confined or cramped spaces, and in dusty areas when required.
Responsibilities
  • Serve as a liaison between the Division, the Pediatric Business Office, and other departments within the organization.
  • Schedule appointments and meetings in alignment with the clinic schedule and manage clinic templates.
  • Support provider onboarding.
  • Submit leave requests and arrange travel and ground transportation for conferences.
  • Procure non-clinical supplies.
  • Collaborate with the patient access center, acute and ambulatory care teams, and other staff to manage patient scheduling and appointment processes.
  • Prepare documents, letters, and reports and maintain organized files for important and confidential materials.
  • Manage the procurement and distribution of patient medical record information as requested by Division faculty.
  • Optimize administrative processes and use resources effectively to uphold customer service standards.
  • Coordinate and prepare Division-related purchases from various funding sources in accordance with procurement guidelines.
  • Facilitate vendor setup and process payments in compliance with applicable procurement regulations, policies, and procedures.
  • Complete expense reports for assigned clinicians.
  • Record meeting minutes and track action items for Division faculty in appointed meetings and committees.
  • Perform other duties as assigned.
