Requirements
  • Proficiency in Microsoft Office Suite, Adobe Acrobat, and organization-adopted systems such as Workday, Modern Campus, Ad Astra, and OnBase.
  • Knowledge of office equipment, including printers, scanners, copiers, and telecommunication systems.
  • Knowledge of departmental, divisional, and college processes, procedures, and guidelines.
  • Organizational skills and proofreading skills.
  • Ability to multitask, meet deadlines under pressure, prepare reports using software and systems, work with others, maintain confidentiality, and effectively use hardware and software.
  • Associate degree from an accredited institution and two years of administrative office experience, or an equivalent combination of training and experience.
  • A high school diploma or GED and four years of related office experience may be considered as an equivalent combination.
  • Candidates must pass a criminal background check because this is a security-sensitive position.
Responsibilities
  • Manage the divisional or front office and provide customer service in a fast-paced higher education environment.
  • Serve students through outcome-driven customer support.
  • Use technology to communicate effectively through verbal and written formats and assist with website updates as needed.
  • Prepare statistical reports using various systems and data-management techniques.
  • Execute electronic and paper document-management strategies to maintain accurate and organized programmatic, departmental, and divisional files.
  • Support districtwide scheduling processes according to divisional or departmental needs.
  • Generate reports and assist administration with verification of course schedules.
  • Develop and maintain schedules for continuing education courses as needed.
  • Support directors and associate deans with programmatic admission and accreditation activities.
  • Support budget processes according to departmental or divisional needs.
  • Facilitate purchasing by verifying vendor status, initiating departmental purchases, following requisition status, coordinating delivery, verifying charges, and releasing payment.
  • Plan and coordinate events and meetings, take minutes, and manage calendars.
  • Assist with processing leave and local travel forms, check requests, and other college forms as needed.
  • Provide backup to the assistant to the dean at the dean's request.
  • Maintain confidentiality of records, files, and contact information in compliance with the Family Educational Rights and Privacy Act and college policy.
  • Maintain professional competence and perform other duties as assigned.
