Requirements
  • Extensive knowledge of modern executive administrative operations, calendar design, travel, and expense management in a distributed work environment.
  • Advanced proficiency in Microsoft 365, including Excel, PowerPoint, Word, and Teams, with practical experience importing, verifying, and presenting data through reports and visual graphs.
  • Ability to articulate complex concepts and draft executive communications representing senior executives.
  • Maturity and sound judgment when handling sensitive, highly confidential employee and enterprise matters.
  • Ability to adapt to change, shift priorities under tight deadlines, and act decisively without complete information.
  • Strong organization, attention to detail, time management, and accountability to follow tasks through to completion.
  • Ability to empathize with individuals in varied situational circumstances.
  • Ability to work with confidential information and apply maturity and discretion in daily operations.
  • Strong interpersonal skills to build trust and work seamlessly across People & Talent, cross-department teams, and stakeholders.
  • Ability to infer potential items and actions relating to a project or request, investigate deeply when needed, and assimilate new information quickly.
  • Bachelor’s degree or equivalent experience in human resources or a business-related field is preferred.
  • Five to seven years of executive support or assistant experience supporting C-suite leadership.
  • Exceptional working knowledge of Microsoft Office tools and technology, including PowerPoint, Excel, WebEx, and Teams.
Responsibilities
  • Act as the point of contact between executives and employees and/or external candidates and vendors.
  • Build trusted relationships across People & Talent and enterprise stakeholders while serving as an employee liaison for sensitive and confidential situations.
  • Prepare executives for meetings and presentations by coordinating calendar events, briefing packs, pre-reads, attendee alignment, and executive summaries.
  • Record meeting notes, summarize action items and open questions, and conduct debriefs as needed.
  • Research, synthesize, and prepare briefing materials, decision decks, talking points, and data-informed insights for executive meetings and business reviews.
  • Draft, edit, and polish high-level executive communications, presentations, and organizational messaging representing senior executives.
  • Maintain senior executives’ schedules by planning and scheduling meetings, teleconferences, and team events and activities.
  • Organize and file electronic materials, including presentations, notes, and supporting documents, in a secure yet accessible manner.
  • Plan and lead operational cadences, including leadership meetings, planning sessions, and enterprise and culture events.
  • Assist with managing the department budget, including budget proposals, monthly and quarterly reviews, and reconciliation of invoices and monthly expense statements.
  • Correspond with and arrange travel for senior-level candidates, including interview schedules and follow-up logistics.
  • Collaborate with team members to brainstorm, strategize, and complete ad hoc requests.
  • Use Microsoft 365 and AI-powered tools such as Copilot to manage project hubs, automate workflows, and optimize information flow.
  • Support senior executives with administrative needs, including processing travel and expense reports, booking travel, and scheduling and coordinating meetings and events.
  • Prepare meeting materials and logistics for departmental meetings, external sessions, and workshops.
  • Coordinate team activities, including workshops and team-building activities.
  • Perform other duties as assigned.
