Requirements
  • Associate degree and/or higher-level education, completed coursework in business or health services administration, or equivalent experience.
  • At least two years of experience in healthcare contact centers, pre-access, patient access, admissions, hospital business offices, or physician practice offices.
  • Prior supervisory or team lead experience.
  • Customer focus and adaptability to different personality types.
  • Ability to multitask, set priorities, and manage time effectively.
  • English language proficiency.

Responsibilities
  • Supervise a team of Patient Access Representatives to ensure administrative and technical functions of the Patient Access Center are handled efficiently and effectively.
  • Serve as the knowledge expert and information resource for team members.
  • Resolve patient inquiries, including identifying providers, scheduling appropriate appointments, providing service information and price estimates, screening for financial assistance, booking, canceling and rescheduling appointments, addressing escalations, and relaying patient communications to providers.
  • Monitor and report service performance, including volumes, wait times, abandonment rates, and other productivity and performance measures.
  • Reach service goals through targeted approaches, report performance weaknesses, record and evaluate data, and assess improvement opportunities.
  • Maintain communication and working relationships with patients, staff, and clinical teams.
  • Recommend and update department policies and procedures and communicate changes to staff.
  • Communicate and operationalize the vision while encouraging a cooperative and customer-focused employee culture.
  • Audit frontline performance and provide education to maintain or exceed accuracy standards, coordinating with quality and training teams.
  • Collaborate with affiliates on appointment-scheduling issues.
  • Represent the department in meetings and committees conducting root-cause analysis of scheduling issues.
  • Work with managers to provide coaching and ensure team members have the tools and training needed to meet accuracy, productivity, and customer-service goals.
  • Provide training to Patient Access Representatives as needed.
  • Support CHN and Planned Parenthood’s health-equity mission, including racial equity and accountability to the community.
  • Learn about and enhance practices related to racial equity and structural racism in healthcare systems.
  • Build trust across cultural differences.
  • Manage and mentor a culturally diverse team and foster an inclusive and equitable organizational culture.
  • Provide positive developmental feedback and accountability related to equity practices.
Desired Qualifications
  • Bachelor’s degree strongly preferred in Health Care Administration or a related field.
  • At least two years of relevant leadership-level experience.
  • Experience with EPIC electronic medical record/electronic health record systems.
  • Working-level proficiency in a second language.
