  • High School Graduate or GED
  • 2 or more years of progressively responsible and directly related work experience in a healthcare setting OR 1 or more years of direct customer service in a healthcare or contact center AND 1 or more years of UKHS patient service scheduling experience
  • Proven knowledge of EPIC EMR scheduling or other scheduling systems

Responsibilities
  • Position responds to a high volume of incoming telephone calls. Responsible for accurate scheduling/rescheduling / cancellations of patient visits; including clinic appointments (in person and telehealth), treatments such as (chemotherapy, radiation therapy, surgeries, procedures and or ancillary services) using extensive knowledge of appointment types, locations, providers and specialties
  • Registration of patient (prior to visit and/or upon arrival); including entering/updating demographics, insurance verification, document scanning, and processing of referrals. Educates patients on providing medical records and other medical documentation needed for TUKHS appointments. Schedules referral appointments for external offices, faxes/sends necessary referral and medical records to referred physician office utilizing specialty software modules such as Beacon. . .Delivers expert knowledge regarding clinic-specific processes & communicates using medical terminology and grammar accurately
  • Completes daily reminder calls to patients prior to the day of service.  Assists with daily charge audits as directed.  Assists with maintaining and organizing various logs, records, and miscellaneous data as directed
  • Prepares patient charts prior to the day of service to include reports, office notes, etc.  Contacts manufacturer representatives to notify them of scheduled procedures when applicable.  Maintains calendar within the scheduling system to reflect accurately. Prepares and distributes schedules as required and in a timely manner
  • Scheduling at this level is often for multiple/cyclical events (e.g. lab tests, radiologic imaging, and procedures, etc) at correct intervals to clinic and treatment appointments. Scheduling must be verified with referring physician orders for accuracy. Familiar with and demonstrates ability to effectively use the automated scheduling program and keep current with changes, updates, revisions, etc.
  • Diligently and efficiently manages scheduling workload from assigned Appointment Request Work queue (WQ), filters and prioritizes appointment requests per specialty standards keeping close communication with the providers and clinical team members and support staff on various patient issues and to verify any change requests and ensure continuity of care
  • Demonstrates ability to schedule procedures in a manner to maximize utilization of available time and meet needs of the physician / patient.  Is responsible for communicating and clarifying information or schedule changes to appropriate persons to facilitate minimal scheduling errors
  • Learns and builds knowledge and understanding of scheduling guidelines, patient registration, pre-certification requirements and basic levels of health insurance and billing procedures. Maintains knowledge of order entry and scanning capabilities as needed
  • Identifies urgent customer needs or operational issues, and escalate appropriately. Accurately documents and routes calls to the proper department
  • Communicate with Financial Advisor when the patient has concerns/questions about financial responsibility for appointments /treatments/procedures scheduled. Direct patients to call insurance provider for copay or benefits information or transfer callers to Financial Advisor for specific payment inquiries, including self pay plans
  • Responsible for checking out patients from clinic visit, providing options for receipt of after visit summary and support for EMR patient portal (EPIC MyChart) sign up
  • May be assigned to work Appointment Request WQ, including proper filtering and prioritization in accordance with specialty standards, or manages department Scheduling Inbasket and voicemails. Engages with patients in a courteous and timely manner; provides complete and accurate information to patient regarding prep and other exam related notes. Respondss to scheduling requests via electronic patient communication/interations including MyChart messages and Artera test messaging platform
  • May assist with orienting new employees to the scheduling process and does so in a positive, helpful, and accurate manner. May train new employees on department, POD, and clinic-specific operational protocols and workflows using approved materials and approaches
  • Builds and maintains trusting relationships with provider and clinical team to provide holistic and patient centered scheduling services, while advocating for patient's needs (transportation, financial, logistical) and coordinating care appointments across multiple campuses. Maintains a customer friendly relationship with office personnel and accommodates requests in a customer friendly manner. Able to effectively adjust the schedule to provide a workable, smooth schedule on a daily basis
  • Employees in this position may float across multiple scheduling teams/specialities based on daily staffing needs
  • Attends and actively participates in staff training or educational activities relating to job role

Settlement agreement over contaminated heart device involving KU med. The University of Kansas Hospital Authority has settled a wrongful-death lawsuit alleging a contaminated device used during open-heart surgery led to a fatal infection in a patient. The settlement agreement was confirmed in court documents, with the plaintiffs agreeing to dismiss all claims against the hospital. The lawsuit also includes negligence and product liability claims against LivaNova USA Inc., the manufacturer of the contaminated device. The case is among more than two dozen lawsuits filed against the hospital and LivaNova, with studies showing contaminated heater-cooler devices can spread bacteria and lead to infections in patients. The trial is scheduled to start soon, with ongoing legal proceedings in the case.

Radiologist joins UKHS Great Bend

Radiologist joins UKHS Great Bend. The University of Kansas Health System in Great Bend welcomes Glenda Holzman, MD, to its care team. Dr. Holzman is a radiologist and is board-certified by the American Board of Radiology. "I grew up in a rural area of Oklahoma," Dr. Holzman said. "Because of that, I am proud to provide services to rural Kansas as I understand how much the community appreciates the convenience." Dr. Holzman offers many radiology-guided procedures. Some of the procedures she will perform include biopsies of the majority of the body's organs, pain injections into the lumbar spine or joints, placing abscess drains and stereotactic breast biopsies. "My mentor taught me three things: know your craft, be available and be affable," Dr. Holzman said about her patient-care philosophy. "I learned that if somebody needs something done, I want to do it expeditiously. I don't want to be a barrier to patient care. I want to facilitate getting a diagnosis as soon as possible." Dr. Holzman earned her medical degree at the University of Oklahoma College of Medicine and completed her residency in radiology at the University of Kansas Medical Center. She also completed a musculoskeletal radiology fellowship at the University of Iowa.

2025 HCD Conference + Expo tour preview: The University of Kansas Health System ED expansion, Kansas City, Kansas. The 49,900-square-foot expansion featured four phases and delivered 30 new treatment rooms. The project is one of the featured community tours at the 2025 HCD Conference. Published: September 22, 2025 Posted by Tracey Walker The University of Kansas Health System emergency department expansion, Kansas City, Kan. In February 2024, The University of Kansas Health System (Kansas City, Kan.) unveiled an emergency department (ED) expansion on the dense, urban campus of The University of Kansas Hospital in Kansas City, Kan., to address rising patient volumes. The phased project adds 49,900 square feet across four levels, each serving a distinct function. The new ground floor drop-off improves patient access and flow, while dedicated staff areas on the adjacent Lower Level provide vital training room space, offices, and a respite room. Level 1 provides additional treatment rooms and advanced imaging capabilities, joining the existing ED clinical areas. The expansion on Level 2 houses shell space that is currently being developed for the cardiovascular program. Construction for the expansion took approximately 2 1/2 years and occurred within an active hospital, making uninterrupted operations a top priority. Careful phasing and close collaboration ensured continuous care delivery with minimal disruption. For example, architecture and interior design firm Pulse Design Group (Kansas City, Mo.) and general contractor JE Dunn Construction (Kansas City, Mo.) worked with hospital staff to implement a multiphase approach, ensuring that at least one CT scanner remained operational at all times. Completed in February 2024, the ED features a split-level entry, where patients are quickly assessed and directed either to a large, newly expanded waiting room or transported via dedicated trauma elevator directly into the core of the ED, bypassing the main waiting room entrance. Furthermore, the layout of the expansion is designed to maximize visibility, speed of response, and ease of navigation for both staff and patients. Treatment rooms are arranged in a racetrack layout along the building perimeter. Nurses' stations are planned to provide clear line of site into treatment rooms and located throughout the department to enable faster response times. HCD Conference community tour.
