Requirements
  • One (1) year of records management, customer service, or administrative experience.
  • Possession of a high school diploma, GED, or equivalent.
  • Knowledge of and skill in applying statutes related to records management.
  • Skill in utilizing basic research techniques, methods, and procedures.
  • Skill in maintaining accurate records.
  • Ability to establish and maintain effective working relationships with other employees and the public.
  • Ability to operate standard office equipment.
  • Ability to work independently and with minimal supervision.
  • Ability to communicate in person and by telephone with tact and diplomacy.
  • Ability to perform as a functional lead of other clerical staff including reviewing work for accuracy, providing training, and making recommendations on employee performance.
  • Ability and willingness to maintain confidentiality and assume responsibility for information obtained.
  • Ability to travel.
Responsibilities
  • Coordinates the receipt, storage and retrieval of active records.
  • Coordinates and monitors the disposal of inactive documents and records.
  • Recommends and identifies changes to improve efficiency, accessibility and/or accuracy of records retained.
  • Keeps current on all legal record keeping requirements relating to records content, records retention, storage media and admissibility of information.
  • Prepares and issues responses to requests and collects applicable fees.
  • Responds to open records requests.
  • Oversees and participates in complex projects involving the gathering of data and researching files to assemble accurate and complete information.
  • Establishes and maintains retention schedules.
  • Coordinates storage and/or disposal of files following established guidelines and procedures.
  • Performs related duties as required and assigned.
  • Reviews the work of less experienced workers by visual observation.
  • Reviews work content and ensures that work performed is consistent with applicable standards and procedures.
  • Interacts frequently with City personnel, outside agencies, and residents in order to exchange information related to work activities, policies, and procedures.
