  • A high school diploma or general education degree (GED) and 1-2 years of general office experience and/or training are required, preferably in healthcare.
  • The employee must be proficient with multiple standard business software applications on a personal computer, including Microsoft applications and staffing, payroll, and supply applications.
  • The employee must have a keyboarding speed of 45-65 words per minute, with skills tested by Human Resources at an acceptable level.
  • The employee must be able to maintain staff and patient confidentiality.
  • The employee must be able to communicate effectively by phone, face to face, and in writing.
  • The employee must have customer service and interpersonal skills.
  • Additional knowledge of general or specific medical or technical terminology may be required for certain departments.
  • For the Bronson Methodist Hospital Cardiac Rehabilitation department, BLS certification is required upon hire or within the first 90 days of employment, and the employee must perform 12-lead electrocardiograms.
  • The employee must be able to perform work involving sustained computer use, close visual tolerances, and hand-eye coordination.
  • The employee must be able to regularly walk, stand, stoop, bend, sit, and lift light-weight objects.
Responsibilities
  • Provide secretarial and clerical services to staff and managers of an assigned unit or department.
  • Prepare correspondence and type office records, memos, minutes, forms, tables, charts, schedules, patient reports, and other records.
  • Provide information and customer service to patients and visitors.
  • Maintain and update departmental records and files.
  • Gather data and prepare regular and recurring reports.
  • Handle staffing, scheduling, and payroll responsibilities when assigned to a department.
  • Schedule meetings, create agendas, take minutes, and distribute information to attendees when assigned.
  • Complete secretarial tasks including transcription, invoice processing, travel arrangements, and correspondence preparation.
  • Compile and maintain financial and budget data when assigned.
  • Maintain departmental schedules and payroll daily while following staffing and scheduling policies.
  • Communicate with units to determine staffing needs at the beginning of each shift.
  • Use critical thinking and staffing data to determine staff placement.
  • Troubleshoot staffing needs and contact additional staff on short notice.
  • Requisition office supplies and small equipment repair and maintenance services, and ensure adequate supplies for office operations.
  • Operate office equipment including personal computers, calculators, fax machines, and photocopiers.
  • Develop and maintain spreadsheets and databases to enter, maintain, and retrieve data, track statistics, monitor activities, and produce reports.
  • Maintain departmental or management calendars and schedule or reschedule appointments.
  • Receive, direct, or escort patients and visitors; place, receive, and direct phone calls; take and transmit messages; and provide or route information to callers.
  • Perform department-specific functions such as processing patient charges, preparing and distributing worksheets, entering operational data, processing payroll transactions, transcribing patient test results, and coordinating educational functions.
Desired Qualifications
  • An Associate’s degree is preferred.
