Requirements
  • Some college; preferably a degree in Hotel Administration or Business Management.
  • Two years of experience as a Front Desk Manager, preferably in a four- to five-star or Diamond-style hotel.
  • Fluency in English, both verbal and non-verbal.
  • Ability to compute basic arithmetic.
  • Familiarity with yield management and cost controls.
  • Ability to perform job functions with attention to detail, speed, and accuracy; prioritize and organize; remain calm and resolve problems using good judgment; follow directions thoroughly; understand guests' service needs; work cohesively with co-workers; work with minimal supervision; maintain confidentiality of guest information and pertinent hotel data; ascertain departmental training needs and provide training; and direct staff performance with follow-up corrections when needed.
  • Ability to input and access information in the property management system, computer systems, and point-of-sale system.
  • Ability to transport key packets, copier or computer paper, and water bottles weighing 20–30 pounds approximately 100 feet; perform various physical movements throughout work areas; reach 1–2 feet; remain stationary for 2–4 hours during a work shift; and communicate satisfactorily with guests, management, and co-workers.
Responsibilities
  • Maintain knowledge of and comply with departmental policies, service procedures, and standards.
  • Maintain knowledge of the correct maintenance and use of equipment, using equipment only as intended.
  • Anticipate guests' needs, respond promptly, acknowledge all guests, maintain positive guest relations, and resolve complaints to ensure guest satisfaction.
  • Maintain cleanliness, sanitation, and organization of assigned work areas.
  • Maintain knowledge of hotel features and services, room information, rates, packages, promotions, occupancy, arrivals and departures, room availability, group activities, policies, procedures, and group resumes.
  • Access all functions of the computer system and answer department telephone calls within three rings using correct greeting and telephone etiquette.
  • Ensure current rates, packages, and promotions are available at the Front Desk and Fairmont Gold, and ensure staff are knowledgeable about them.
  • Review daily business levels, anticipate critical situations, and plan effective solutions.
  • Evaluate group thresholds and coordinate group bookings with the Directors of Sales and Marketing and Revenue Management.
  • Assign work duties to staff and complete monthly summaries for the General Manager and Director of Sales and Marketing.
  • Establish and present hotel pricing levels with Sales and Marketing and Revenue Management, implement corporate revenue-management incentives, and participate in inventory-control and revenue-management activities.
  • Inspect staff grooming, attire, performance, service readiness, materials, and equipment, correcting deficiencies as needed.
  • Monitor check-in and check-out, communication logs, staff interactions with guests, and guest requests; assist staff and resolve discrepancies.
  • Observe guest reactions and confer with staff to ensure guest satisfaction.
  • Follow hotel requirements for accidents, injuries, and emergency situations, and ensure security of guest-room access.
  • Monitor cashiering procedures, including shortages and overages, late charges, petty cash, adjustments, posting charges, payment processing, account settlement, closing reports, receipt balancing, and bank security.
  • Assist staff with problem payments.
  • Anticipate sold-out and overbooked situations, handle walked guests, and coordinate room blocking during low-occupancy periods.
  • Ensure VIPs are pre-registered and coordinate with Housekeeping to maintain accurate room status and readiness.
  • Review group resumes, organize master accounts, and coordinate group check-in and pre-registration procedures.
  • Review out-of-order rooms and determine their current status and estimated return to inventory.
  • Monitor undesirable persons on hotel premises and contact Loss Prevention when necessary.
  • Provide staff performance feedback, handle disciplinary problems, counsel colleagues, maintain attendance and disciplinary records, and conduct timely performance reviews.
  • Foster a cooperative working climate and maximize productivity and colleague morale.
  • Complete maintenance work orders, document department information, complete paperwork and closing duties, and follow up on assignments.
  • Review assignments with the Front Desk Manager, Royal Service Manager, Chef Concierge, and Fairmont Gold Manager.
  • Order supplies, track inventory, complete requisitions, and prepare annual forecasts and room budgets.
  • Assist in controlling room inventory to maximize revenue.
  • Conduct departmental meetings, attend designated meetings, and complete departmental filing.
  • Screen and interview Front Office applicants.
  • Prepare revenue and labor-cost forecasts, approve and adjust work schedules, track attendance, and coordinate staff breaks.
  • Conduct pre-shift meetings and communicate information relevant to the day's business.
  • Monitor safe-deposit-box, guest-mail, express-checkout, lost-and-stolen-article, VIP follow-up, no-show, guest-information, arrival-report, special-request, credit-check, group-master, trace-report, amenity-delivery, late-checkout, and discrepant-room procedures.
  • Ensure staff complete closing duties and sign off on paperwork.
  • Ensure hotel descriptions in distribution systems accurately reflect the hotel's selling strategy, including the Global Reservation Central and Communication Reservation System, Internet, Global Distribution System, and wholesalers.
  • Assist with group and transient demand forecasting and annual budgeting.
  • Conduct formal and ongoing training for new and existing staff.
  • Provide guest-room tours.
  • Follow up on assignments from the Director of Operations.
Desired Qualifications
  • A college degree, preferably in Hospitality Management.
  • Fluency in a second language, preferably Spanish.
  • Certification in cardiopulmonary resuscitation.
  • Ability to suggestively sell.
  • Previous guest-relations training.
