Requirements
  • A Bachelor's degree or equivalent combination of education and experience.
  • Two years of progressively responsible work-related experience.
  • A valid driver's license with a motor vehicle record compliant with the Driving for University Business SAP.
  • Eligibility to work in the United States.
  • Availability to work and perform essential job functions on campus.
  • Ability to maintain confidentiality.
Responsibilities
  • Independently oversee and perform complex administrative tasks that substantially impact the internal and external operations of the Dean's Office.
  • Provide complex administrative support for the Dean, Director of External Relations, and other Dean's Office staff.
  • Manage all aspects of administrative support for the Dean's Office team.
  • Coordinate the Dean's complex calendar.
  • Organize in-state, out-of-state, and international travel arrangements for the Dean and Director of External Relations.
  • Schedule department faculty candidate meetings with the Dean and Associate Deans by coordinating several calendars.
  • Manage the key database for the Agriculture building and provide room and building access to employees and students.
  • Manage email listservs for the college.
  • Manage communications from the Dean's Office, including newsletters and new employee introductions to the college by email.
  • Serve as a main contact for the Dean's Office with other University departments, external individuals, and groups.
  • Manage service requests, requests for estimates, and property disposal requests with University of Wyoming Operations.
  • Provide project leadership and support for internal and external events, including event logistics, marketing and publicity, budget planning, and day-of-event logistics.
  • Serve as the main point of contact for events.
  • Create follow-up assessments of events and meetings.
  • Oversee and process the Dean's Office financial operations.
  • Monitor and submit expense reports for Dean's Office team members.
  • Submit reimbursements for the Dean's Office team.
  • Submit and manage the contract process for the Dean's Office.
  • Process honorariums, IDTs, Form 100s, and Form 300s.
  • Monitor and make recommendations regarding sponsorships.
  • Manage gift reports and other processes from the University of Wyoming Foundation.
  • Distribute gift reports to departments.
  • Create and distribute thank-you letters from the Dean's Office, arranging for personal comments from the Dean when appropriate.
  • Manage the collection of fund information for Foundation reports, including the endowment report and Y-Cross Scholarship report.
  • Serve as the Dean's Office liaison with department office associates on various processes.
  • Organize and schedule administrative staff meetings.
  • Update the office associate college onboarding guide and college and department directories.
  • Conduct research and address complex inquiries at the Dean's request.
  • Prepare presentations and reports at the Dean's request.
  • Serve on University or external committees representing the supervisor or program as directed.
Desired Qualifications
  • Event planning experience.
  • Knowledge of WyoCloud and Oracle systems.
  • Microsoft Office skills.
  • Scheduling experience.
