Responsibilities
  • Review and process invoices, reimbursements, orders, stipends, advances, honorariums, requisitions, and other other-than-personnel expenses accurately and promptly using OneRF, CUNYBuy, and CUNYFirst.
  • Maintain and update vendor and supplier records.
  • Handle other-than-personnel expense submissions for Research Foundation projects, ensure proper expense coding, and follow up with program staff as needed.
  • Review and determine expense allowability in accordance with organizational policies, funding guidelines, and applicable regulations; ensure proper documentation and alignment with approved budgets; and follow up on discrepancies.
  • Review, process, and monitor other-than-personnel cost transfers and update the internal tracker.
  • Review, track, and submit paperwork for subcontracts and independent contractor agreements through the Research Foundation of CUNY Contract Manager and CUNYFirst systems.
  • Reconcile purchase card, NET card, and travel card expenses weekly for Office of Academic Affairs programs and follow up with staff to ensure timely receipt submission.
  • Respond to requests and inquiries promptly and meet tight deadlines.
  • Assist with budget tracking and expense reporting.
  • Attend staff meetings and training as required.
  • Perform special projects and other assigned duties.
  • Sit for extended periods, use a computer and other office equipment, and occasionally lift or move items weighing up to 20 pounds.
  • Travel to other City University of New York sites as needed.
Desired Qualifications
  • A bachelor's degree or equivalent combination of education and experience in lieu of a bachelor's degree is preferred.
  • Intermediate to advanced knowledge and experience of Microsoft Excel and Outlook is preferred.
  • Experience with Research Foundation of CUNY and City University of New York systems, such as OneRF and CUNYFirst, is preferred.
  • Strong data analytical and problem-solving skills are preferred.
  • Prior administrative experience handling reimbursements, expenses, and inquiries is preferred.
