Requirements
  • An Associate or Bachelor degree and five years of administrative support experience are required.
  • Ability to communicate effectively verbally and in writing with diverse groups, including senior administrators, officials, and board members.
  • Ability to prepare concise and accurate written communications, legal documents, and work assignments.
  • Ability to set up and maintain database files and use time-management techniques to organize and prioritize work.
  • Ability to exercise analytical and independent judgment and coordinate multiple projects simultaneously.
  • Knowledge of medical center operations, including related rules, regulations, policies, and procedures.
  • Ability to accurately record and transcribe meeting minutes, maintain confidentiality, and research organizational data sources.
  • Knowledge of secretarial procedures, legal office management techniques, English grammar, punctuation, spelling, proofreading, business formats, technical legal terms, and legal document filing and service procedures.
  • Knowledge of record-keeping and filing systems, government levels and legal systems, standard office equipment and software applications, legal research methods using Westlaw and LexisNexis, internet research principles, and telephone techniques.
  • Ability to work occasional hours beyond the regular schedule, drive occasionally, and meet the stated physical demands, including lifting and carrying up to 10 pounds.
Responsibilities
  • Conduct legal research using local, state, and federal resources and prepare research reports.
  • Verify research findings and assist staff with legal references.
  • Manage administrative support for the General Counsel and Associate General Counsel.
  • Maintain legal records, litigation files, and court documents.
  • Coordinate calendars, meetings, conferences, and departmental schedules.
  • Draft legal correspondence, reports, memoranda, and other documents.
  • Process subpoenas and Public Records Act requests.
  • Serve as liaison between the Office of General Counsel, university leadership, and the public.
  • Maintain confidential records, meeting minutes, and agendas.
  • Recommend improvements to office policies and administrative procedures.
