Responsibilities
  • Serve as a bridge of communication between Executive Director, leadership team, management team, and internal advisory team
  • Provide strategic planning, project management and logistical support to Executive Director
  • Complete a broad array of administrative tasks for the Executive Director including calendar management, expense reports and tracking, and space scheduling
  • Assist with scheduling multi-participant meetings for members of the leadership team
  • Work with Executive Director to develop strategy and facilitate flow of communication among leadership & management teams, including the proactive upkeep of Teams resources pages. This will include: Gathering information and writing regular updates, Drafting communication with and on behalf of Executive Director, Ensuring feedback mechanisms and follow-up processes are visible to all leaders
  • Provide support for leadership, management and staff meetings including coordinating agendas, taking notes, distributing action items & supporting follow-up. When necessary, book space and arrange logistics including tech needs and food
  • Project manage the implementation of quarterly Objectives and Key Results (OKRs)
  • Prepare slides and presentations for staff meeting, management meetings, and external presentations
  • Draft updates for all Chicagoland staff through the internal newsletter and Teams site, and assist with strategy & content development for the Executive Director LinkedIn account
  • Conduct research and gather information on upcoming matters of discussion, including matters of a sensitive or confidential nature
  • Perform other administrative tasks as assigned
