Requirements
  • High school graduation, plus 1 year of post-secondary education, plus 4 years of related experience, or an equivalent combination of education and experience.
  • Ability to compose complex correspondence.
  • Effective communication skills.
  • Ability to exercise tact and discretion with faculty, staff, students and the public when giving and obtaining information and explaining practices and procedures.
  • Ability to coordinate and direct the work of others.

Responsibilities
  • Coordinate the Provost's appointments and calendars and schedule meetings in alignment with portfolio objectives.
  • Organize and coordinate materials for the Provost in preparation for deadlines and meetings.
  • Manage logistics for strategic committees and group meetings, including tracking membership, coordinating meetings, preparing agendas, materials, and minutes or notes, and following up on action items.
  • Assist with projects and events in collaboration with the Administrative Assistant and other Provost's Office team members.
  • Provide backup scheduling support for the Associate Provosts.
  • Provide reception and front-line customer service support to Provost's Office visitors.
  • Support the efficient day-to-day operations of the Office of the Provost by handling mail, phone calls, appointments, and materials and routing requests appropriately.
  • Schedule meetings and special events, arranging rooms, IT support, catering, and other logistical details as appropriate.
  • Assist with booking travel for Provost's Office team members and guests.
  • Maintain and order supplies while liaising with IT, Security, and service contractors.
  • Process honorariums, cash receipt deposits, expense reports, vendor invoices, and purchase orders.
  • Submit expense reports on behalf of UBC Visa cardholders and ensure transactions are coded correctly.
  • Keep up to date with Workday procedures.
  • Scan, file, retrieve, track, and archive documentation.
  • Maintain records in a current, logical, functional order and ensure they are appropriately coded.
  • Maintain a filing system report and circulate updates.
  • Perform other duties as required.

  • Attention to detail and logistics coordination ability.
  • Flexibility and adaptability in a quickly changing landscape, with the ability to prioritize and seek clarification when uncertain.
  • Proficiency with Microsoft Outlook, Microsoft Word, Microsoft Excel, and Microsoft PowerPoint, plus databases, computer network systems, electronic mail programs, the internet, and other software as required.
  • Experience with Workday software, or ability to learn it.
  • Ability to work under pressure and meet deadlines.
  • Ability to work with minimal supervision while exercising confidentiality and tact.
  • Sensitivity to the importance and diversity of the university's internal environment.
  • Familiarity with university structures and systems administration.
  • Knowledge of university procedures, protocols, policies, and government operations.
  • Ability to work in a team environment and adapt to a quickly changing environment.
