Requirements
  • A Bachelor's Degree.
  • Proficient written and oral communication skills.

Responsibilities
  • Manage and maintain the calendars of the NLM Executive Officer and NLM Deputy Executive Officer, ensuring accuracy, coordination, and seamless scheduling.
  • Deliver general office support for the NLM Office of Administration.
  • Provide administrative and technical support to internal and external customers.
  • Provide administrative and procedural support for logistical and travel arrangements for NLM Office of the Director staff.
  • Coordinate meeting planning and logistical arrangements, including room and audiovisual reservations, Microsoft Teams, and other remote connection arrangements; prepare and transmit agendas and relevant materials; communicate with participants; and prepare and distribute meeting minutes.
  • Assist with audit reports for NLM timekeeping.
  • Maintain knowledge of current regulations, policies, and procedures concerning general administration, organization, procurement, travel, and personnel.
  • Review documentation for compliance with policies and procedures; interpret instructions for format compliance; collect data; and provide summaries for analysis and interpretation.
  • Develop, maintain, and update documentation, databases, and spreadsheets for personnel, budget, and travel actions.
  • Provide staff travel support, including reviewing travel for accuracy and maintaining knowledge of NLM-specific processes, Federal Government travel procedures, and Concur (CGE) and Go.gov travel systems.
  • Prepare and process domestic, foreign, and sponsored travel requests, leave authorizations, and vouchers; ensure compliance with Federal regulations; and input and track travel information.
  • Prepare requisitions for office supplies and miscellaneous items; maintain office records, including procurement and reimbursement procedures.
  • Enter office-supply and registration requests using POTS; process and track order requests in government systems on behalf of NLM Office of the Director staff.
  • Perform complex and specialized ongoing and ad hoc support tasks; manage special projects; draft letters and reports; prepare and edit presentations; develop meeting agendas; and create and update spreadsheets and databases.
  • Coordinate preparation of travel requests, professional service orders, sponsored travel requests, outside-activity forms, SAAVI inquiries and responses, official-duty memoranda, leave authorizations, training requests, mailings, correspondence, reports, and other forms.
  • Provide administrative, procedural, and informational resource support and coordinate program workflow with staff.
  • Act as the focal point and primary initial contact for Office of Administration matters; design and coordinate staff communication systems to facilitate information flow for projects and program activities.
  • Develop, update, and maintain spreadsheets for personnel, budget, travel, and training analysis; develop budget proposals; monitor expenditures; create summaries and reports; maintain administrative reference documents; and upload, organize, and maintain information in NLM Wiki and OneDrive sites.
  • Inventory office supplies and equipment; prepare and process purchase requests and maintenance agreements; and assist with property management.
  • Manage Office of Administration data calls and track them using existing or newly identified technology.
  • Provide expertise to improve the overall functioning of the office.
  • Conduct data entry and generate reports and letters.
  • Implement current regulations, policies, and procedures.
  • Research and propose new administrative procedures.
  • Gather and analyze information about processes and programs and prepare reports, letters, and other documents for program, policy, and activity review.
  • Work with staff to create and prepare slides and presentations.
  • Schedule and maintain tracking systems for activities.
  • Provide ad hoc administrative support to other NLM divisions.
  • Provide ad hoc administrative support to NIH, NLM, Office of the Director, and Office of Administration meetings, committees, and working groups.
