Requirements
  • A High School diploma is required.
  • At least 3–5 years of work experience in an accounting or clerical position is required.
  • Hands-on computer experience is required.
  • Successful completion of a Level 2 background screening through the Florida Department of Law Enforcement Care Provider Background Screening Clearinghouse is required.
  • Applicants must work in a drug-free workplace.
Responsibilities
  • Assist the Camp Director and the Director of Camping Services in ensuring proper accounting methods, purchasing procedures, attendance and leave records, and asset accounting are maintained.
  • Provide secretarial support to the program and agency as needed.
  • Monitor budget expenditures and alert the Camp Director and the Director of Camping Services about problem areas.
  • Coordinate purchases by verifying approvals, issuing purchase orders, checking invoices, obtaining payment approvals, matching purchasing documentation, assigning account and vendor numbers, completing vouchers, forwarding documentation to the Accountant, and maintaining purchase-order and voucher files.
  • Maintain petty cash by issuing approved reimbursements, preparing deposits, forwarding cash receipts and adjusting journal entries, requesting reimbursements, and submitting payment documentation to the Accountant.
  • Submit vehicle service reports and monthly vehicle-report information to the Main Office Business Manager.
  • Check monthly vehicle logs and forward commuting mileage reports to the Main Office Business Manager.
  • Prepare payroll information, maintain payroll printouts, answer payroll and attendance questions, and process approved leave requests and timesheets for Human Resources.
  • Administer assigned campus credit cards, including Visa, store charge cards, and gas cards.
  • Obtain and forward personnel information to Human Resources, maintain program personnel files, answer personnel questions, collect applicant paperwork for background screening, assist with applicant inquiries, and forward employee personnel documents promptly.
  • Ensure personnel files are complete and ready for CQD reviews.
  • Perform secretarial and receptionist duties, welcome and inform callers and visitors, distribute mail, process program service packets and youth correspondence, complete reports and pending correspondence, follow Family Services Operations Manual procedures, and reserve rooms for agency meetings.
