Requirements
  • A bachelor's degree in an applicable field or an equivalent combination of education and experience.
  • Five years of related experience in business, accounting, or personnel operations, including some supervisory experience.
  • Two years of supervisory experience.
  • Knowledge of word processing and spreadsheet applications.
  • Ability to multitask and work cooperatively with others.
  • Verbal and written communication skills.
  • Compliance with state and federal laws and Texas A&M University System and university policies, regulations, rules, and procedures.
  • Ability to perform all tasks and job responsibilities safely in compliance with system and university safety requirements.
Responsibilities
  • Provide supervisory oversight for all academic department business personnel within the College of Marine Sciences and Maritime Studies Academic Business HUB.
  • Serve as the supervisory contact for academic department budgets.
  • Ensure academic department business personnel are trained in baseline business functions and track training for compliance and recurring completion.
  • Provide training on procurement, contracts, purchasing, travel, travel and procurement card use, cash handling, export controls, and professional development as requested.
  • Participate in reviewing and implementing policies affecting Academic Business HUB operations.
  • Develop proper business control procedures with the AVP for Finance and Compliance Officer to ensure expenses are properly monitored.
  • Review and analyze financial reports and recommend changes or actions to the CFO as needed.
  • Work with the CFO to develop long-range business personnel goals and address budget challenges for academic departments.
  • Assist the Office of Budgets and Finance in developing topics for quarterly Business Operations meetings.
  • Provide primary business support for the Office of the Associate Vice President for Academic Operations, Texas A&M University at Galveston, and the Executive Associate Dean of Academic Operations.
  • Manage purchasing and reconcile the Executive Associate Dean's operating budget.
  • Monitor accounting errors and submit corrective action.
  • Provide primary business support for Library Services.
  • Supervise payroll and personnel actions performed by Academic Business HUB personnel.
  • Manage leave requests, flexible work schedule requests, and alternate work location requests for HUB personnel.
  • Monitor approval channels for leave and work arrangement requests.
  • Supervise payroll review during every payroll period and ensure backup personnel are available during absences according to the Business Continuity Plan.
  • Administer business personnel staffing, including hiring, staff development, motivation, retention, and evaluation.
  • Manage payroll and personnel actions for the Executive Associate Dean's office as needed.
  • Provide expertise on fiscal and administrative policy interpretation to the Academic Business HUB and associated faculty.
  • Review compliance issues with the Assistant Director of Compliance and provide oversight and guidance to implement controls that prevent future non-compliance.
  • Perform other duties as assigned.
Desired Qualifications
  • Experience managing business operations or supervisory experience.
  • Experience with Texas A&M University and Texas A&M System financial and human resources software systems, rules, policies, and procedures.
  • Ability to serve as an Incident Command Team Member with FEMA certification.
  • Knowledge of Adobe Suite, Microsoft Office applications, Canopy, Excel, FAMIS, Aggiebuy, iPay, Workday, and Concur.
  • Strong proficiency in Concur and familiarity with travel payment and purchasing guidelines.
  • Strong initiative, critical thinking, attention to detail, organization, and problem-solving ability.
