A Glimpse of the Job
The Manager, Academic Business, under the direction of the AVP for Finance and Compliance Officer, manages the business needs for the Dean of the College of Marine Sciences and Maritime Studies and supervises and manages the business functions of the Centralized College Academic Business HUB. Manages budget and accounting, purchasing to include P-card use, human resources, payroll and travel functions in accordance with required process and policy. Ensures baseline business functions are being carried out in each unit within the Academic HUB. Supervises and ensures that training is available and completed for staff within this HUB. Serves as primary business contact for the Dean and the Academic HUB on issues that may rise above the unit’s ability to resolve. Reviews financial and statistical reports provided to various Academic Department Heads upon request. Participates in the development and management of proper financial control procedures, interpretation and implementation of new policy, and participates in financial decision-making for the Dean.
Essential Duties/Tasks:
Management of Academic Departments’ Budget and Accounting
Provides supervisory oversight for all Academic department business personnel within the College of Marine Sciences and Maritime Studies (AKA Academic Business HUB).
Serves as the supervisory contact for the Academic Departments' budgets.
Ensures all academic department business personnel are properly trained in all baseline business functions and tracks training to ensure compliance and that it is repeated at optimal intervals.
Training topics include procurement, contracts, purchasing, travel, use of travel and procurement cards, cash handling, export controls, and professional development training as requested by the Manager.
Participates in the review and implementation of new policies affecting the business operations of the Academic Business HUB.
Works under the supervision of the AVP for Finance and Compliance Officer in developing proper business control procedures to ensure that expenses are monitored properly.
Reviews and analyzes financial reports provided by the Office of Budgets and may provide recommended changes or actions to the CFO as needed.
Works with the CFO to develop long-range business personnel goals and budget challenges for the academic departments within the College of Marine Sciences and Maritime Studies.
Assists the Office of Budgets and Finance in developing topics for quarterly Business Operations meetings.
Financial Planning and Business Support for the Assoc
Serves as the primary business support role for the Office of the Associate VP for Academic Operations, TAMUG, and Executive Assoc Dean of Academic Operations for the College of Marine Sciences and Maritime Studies.
Manages all purchasing and reconcile the Executive Associate Dean’s operating budget.
Monitors errors in any accounting and submits corrective action.
Serves as the primary business support for Library Services, providing the same services listed above.
Payroll and Personnel support for the Office of the Executive Associate Dean
Supervises payroll and personnel actions performed by the business personnel within the College Academic Business HUB.
Manages all types of leave requests, flexible work schedule requests, and alternate work location requests for personnel within the College Academic Business HUB.
Monitors the proper approval channels for these requests well.
Supervises Academic Business personnel to ensure payroll review at every payroll period. Ensures back-up personnel are available within the HUB when absences are necessary according to the Business Continuity Plan.
Administers business personnel staff to include hiring/hiring, staff development, motivation, retention, and evaluation.
Manages the Executive Associate Dean’s office payroll and personnel actions as needed.
Policy, Compliance, and Other
Provides expertise to the Academic Business HUB and associated faculty regarding fiscal and administrative policy interpretation.
Works with the Assistant Director of Compliance in reviewing a compliance issue and, upon final report from the Office of Compliance, work with unit to provide oversight and guidance to place proper controls in place to avoid future non-compliance.

Required Education and Experience:
Bachelor's degree in applicable field or equivalent combination of education and experience.
Five years of related experience in business, accounting or personnel operations including some supervisory experience.
Two years of supervisory experience.
Preferred Qualifications:
Experience in managing business operations or supervisory experience.
Experience with Texas A&M University and Texas A&M System financial and human resources software systems, rules, policies, and procedures.
Ability to be an Incident Command Team Member (FEMA Certified).
Knowledge of Adobe Suite, Microsoft Office Applications, Canopy, Excel, FAMIS, Aggiebuy, iPay, Workday, and Concur.
Strong proficiency in Concur and familiarity with travel payment and purchasing guidelines.
Knowledge, Skills, and Abilities
Strong initiative, critical thinking, attention to detail, strong organization skills and ability to problem solve.
Knowledge of word processing and spreadsheet applications.
Ability to multitask and work cooperatively with others.
Verbal and written communication skills.
