Requirements
  • Typically a bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent experience.
  • Minimum of 4 years of experience in human resources administration, personnel coordination, or higher education support roles.
  • Demonstrated knowledge of human resources principles, processes, and systems.
  • Understanding of and ability to follow organizational structure and defined processes.

Responsibilities
  • Serve as the primary staff lead in the Office of the Dean for oversight of faculty and staff contracts and compensation, including preparation, submission, tracking, and maintenance of contracts.
  • Coordinate the full-time faculty and staff recruitment process, including search committee logistics, interview scheduling, meeting coordination, and collaboration with department chairs, deans, and university stakeholders.
  • Serve as the designated liaison to Human Resources for faculty contracts and compensation matters, ensuring alignment with university policies, procedures, and timelines.
  • Function as a subject matter expert on human resources processes within Workday, including hiring, contract generation, role adjustments, and other employee-related actions.
  • Maintain advanced knowledge of general human resources workflows, including workflows and approval processes related to faculty contracts.
  • Create and maintain employee directories and distribution lists.
  • Track, log, and process contracts, stipends, and supplemental payments.
  • Review transactions for accuracy before submitting and routing them for formal approval, and forecast approval delays and durations to avoid missed deadlines.
  • Consult with the Office of the Provost to ensure non-curricular administrative measures are completed in alignment with the faculty handbook and university guidelines for pre-tenure, rank, and tenure processes.
  • Handle sensitive personnel matters and human resources communications with confidentiality and discretion.
  • Support implementation of university-wide human resources initiatives and policy changes, and communicate relevant updates to staff and faculty when appropriate.
  • Participate in university committees or working groups related to human resources functions or systems.
  • Perform duties related to Workday, the TAP system, employee compensation, and payments.
  • Submit purchases, conduct transactions, and process invoices in accordance with university purchasing policies.
  • Reconcile P-card transactions and expense reports on behalf of the Dean and Associate Deans.
  • Participate in finance, purchasing, and human resources training sessions to remain knowledgeable about current processes and policies.
  • Field general inquiries through shared department inboxes, answer the general office line, update directories, schedule meetings, and coordinate catering, meals, and travel.
  • Maintain knowledge of rank, tenure, promotion, faculty status review, and related policies, procedures, criteria, timelines, and submission deadlines.
  • Maintain Box files and the master calendar for rank, tenure, and promotion processes.
  • Serve as the main liaison between the Dean's Office and the Provost's Office regarding faculty paperwork.
  • Collaborate with the Associate Dean of Faculty and committee chairs to facilitate action items and successful submissions.
  • Provide administrative support before, during, and after promotion cycles.
  • Create and maintain detailed records related to individual faculty contracts, including tenure, tenure-track, and non-tenure roles.
  • Serve as the main point of contact for the School of Film & Television faculty search process.
  • Create and maintain search logs, rubrics, surveys, timelines, questionnaires, requisitions, job descriptions, job postings, and Workday submissions.
  • Review, monitor, and maintain job postings and applications in Workday.
  • Collect and organize documents and files in designated Box folders, manage access levels, and maintain confidentiality.
  • Develop email templates for internal and external faculty-search correspondence.
  • Coordinate search logistics including catering, meals, itineraries, space reservations, teaching demonstrations, travel, lodging, and transportation.
  • Track and manage budgets, expenses, and reimbursements, and consult on internal budget allocation.
  • Coordinate and schedule in-person and virtual interviews, meetings, and visits.
  • Attend recruitment and hiring training, including diversity, equity, and inclusion initiatives and Human Resources training, and facilitate internal training or distribute guides and resources.
  • Communicate and track faculty grants and fellowships.
  • Maintain timelines for grant and fellowship action items, submission details, deadlines, and Box folders.
  • Draft accurate and comprehensive email communications.
  • Execute system transactions and maintain understanding of fiscal-year deadlines, fund parameters, and faculty payment options.
  • Maintain accurate records of awardees, award parameters, and payment processing.
  • Build and maintain partnerships with centralized Human Resources, the Provost's Office, and designated personnel, and document standard operating procedures.
  • Create and maintain guides, manuals, historical records, and resource documents for School of Film & Television processes.
  • Maintain records, correspondence, and documentation securely and in compliance with access and confidentiality practices.
  • Communicate with faculty about contract, stipend, and miscellaneous payment processing and route inquiries to the appropriate personnel.
  • Monitor human resources submission status and follow up with Human Resources and relevant parties to support on-time processing.
  • Provide guidance and support to staff on initiating and submitting human resources tasks in Workday.
Desired Qualifications
  • University experience is preferred.
  • Experience with Workday is strongly preferred.
  • Understanding of basic purchasing and finance principles is strongly preferred.
