Requirements
  • A college degree or equivalent experience with 3 years of business experience.

Responsibilities
  • Provide administrative, operational, and communication support for The Street while supporting the General Manager, Operations Manager, and Marketing Manager.
  • Provide general office duties, including mail distribution, telephone call screening and routing, responding to general inbox inquiries, and receiving guests.
  • Develop office procedures and maintain records, files, calendars, meeting agendas, and tenant, vendor, and contractor files for day-to-day property management.
  • Conduct property-level accounting functions, including invoice processing and coding, vendor setup, utility switchovers, and meter reading and bill-back processing.
  • Maintain corporate database information, including contracts, insurance documents, and contact lists.
  • Maintain office spaces, storage spaces, equipment, office supply inventory, and property-owned event supplies.
  • Track and process donation and sponsorship requests and maintain an up-to-date log of totals.
  • Maintain emergency contact and alert systems with current tenant contact information.
  • Serve as the first-line general ledger coding contact for Operations, Utility, and Marketing invoices.
  • Support monthly accrual input and utility meter reading and bill-back processing.
  • Manage vendor onboarding, including certificate of insurance collection and vetting, W-9 collection, accounting system setup, and collection of pricing and invoices.
  • Draft vendor contracts and route them for approval according to established thresholds.
  • Maintain the master vendor contract and certificate of insurance tracking workbook, monitor certificate expirations, and follow up with vendors on renewals.
  • Support vendor request-for-proposal cycles by drafting requests, compiling and comparing bids, and supporting pricing negotiations.
  • Coordinate day-to-day vendor service requests and required inspections, confirm work completion, and coordinate required tenant notifications.
  • Coordinate quarterly collection of required tenant maintenance documentation and maintain tracking records.
  • Coordinate vendor responses to incidents and property damage and communicate updates to relevant stakeholders.
  • Coordinate marketing campaigns and property marketing efforts with the Marketing Manager and approved branding vendors, including social media, photography, events, and activations.
  • Maintain the property website and email distribution in collaboration with field marketing, tenant contacts, and branding vendors.
  • Maintain tenant records for the Insider loyalty program, including onboarding, agreement status, and in-store training tracking.
  • Monitor and maintain The Street's owned digital channels, including social media comments and online reviews, in coordination with the Marketing Manager.
  • Coordinate collateral development, installation, removal, and storage for property print and promotional items.
  • Participate in brainstorming for property activations, content opportunities, and sponsorship opportunities and support execution of the annual event plan.
  • Serve as a community ambassador and maintain relationships with local organizations and town officials in collaboration with the General Manager.
  • Provide event support for property activations and seasonal events, including scheduling, vendor outreach and follow-up, budget tracking, and status updates.
  • Assist with on-the-ground event-day logistics and vendor coordination.
  • Work occasional evenings and weekends based on scheduled events.
  • Build rapport with tenants through in-person contact, email communication, and tenant meetings.
  • Respond to tenant and management requests for information, prioritize tasks, and direct requests appropriately.
  • Maintain and update the property tenant manual and provide it to new businesses.
Desired Qualifications
  • Bilingual language skills.
  • Experience with WordPress.
  • Experience with artificial intelligence tools such as Claude and ChatGPT.
