Requirements
  • A high school diploma or GED is required.
  • At least three years of experience in records management, document control, administrative support, or a related field is required.
  • Strong organizational, planning, and multitasking skills with exceptional attention to detail are required.
  • Proficiency with enterprise artificial intelligence assistants, effective prompting, and critical evaluation of artificial intelligence output is required.
  • Proficiency with Microsoft Office Suite, particularly Word, Excel, PowerPoint, Outlook, and Teams, as well as Adobe Acrobat Pro, is required.
  • Excellent verbal and written communication skills are required.
  • Demonstrated customer service skills and the ability to interact professionally with employees, customers, vendors, and visitors are required.
  • The ability to manage multiple priorities while maintaining accuracy is required.
Responsibilities
  • Organize, classify, index, process, and maintain company records and documents in accordance with established Document Records Control Management procedures.
  • Maintain systems for the filing, storage, tracking, retrieval, and controlled distribution of company documents and records.
  • Maintain electronic document management and records databases for document lifecycle control.
  • Review documents for completeness, accuracy, legibility, and compliance with document control requirements.
  • Maintain duplicate files and records required for regulatory and business compliance purposes.
  • Process and distribute Nuclear Regulatory Commission and other controlled documents in accordance with established procedures.
  • Assist with the storage, retrieval, and management of company records maintained on-site and off-site.
  • Prepare shipping documentation and coordinate shipment of reports, submittals, and other company materials.
  • Perform scanning, copying, indexing, and electronic filing activities to support Document Records Control Management operations.
  • Coordinate internal meetings, including scheduling support, conference room preparation, audiovisual setup, meeting materials, and catering arrangements.
  • Provide backup administrative support to other company administrators as needed.
  • Provide administrative support to the Licensing team by organizing, formatting, compiling, and assembling technical documentation.
  • Assist with document reviews, revision tracking, formatting, and quality checks of reports and licensing submittals.
  • Maintain tracking logs and documentation status reports for technical documents and regulatory submissions.
  • Develop proficiency in technical editing tools, document formatting standards, and licensing documentation requirements.
  • Participate in cross-training activities supporting future development opportunities within Document Control, Project Controls, and Technical Editing functions.
Desired Qualifications
  • An Associate degree is preferred.
  • Experience in a corporate office environment is preferred.
  • Experience designing repeatable artificial intelligence workflows or prompt templates is preferred.
  • Working knowledge of an electronic document management system and version and configuration control principles is preferred, including EDMS/PLM platforms, SharePoint with content types and managed metadata, Documentum, OpenText, Windchill, or similar systems.
  • Strong document formatting and proofreading skills are preferred.
