Responsibilities
  • Manage the hotel’s Front Office operations and ensure courteous, professional, efficient, and flexible service consistent with company and hotel standards.
  • Guide Front Office personnel and ensure proper completion of Front Office duties.
  • Coordinate payroll management and resource allocation through a flexible, multi-skilled, and multi-tasked workforce.
  • Assist in managing the Front Office department as an independent profit center.
  • Ensure each Front Office work area is managed by accountable section heads or supervisors.
  • Monitor costs, recommend cost-control measures, and establish an integrated cost-management plan.
  • Ensure adherence to the departmental operational budget and assist with monthly forecasts and departmental budget preparation.
  • Assist in analyzing and reporting monthly profit and loss statements.
  • Ensure Front Office departments operate efficiently according to established concepts, policies, procedures, and brand standards.
  • Ensure delivery of the 15-Minute Guest Satisfaction Guarantee service according to Fairmont standards.
  • Manage, supervise, correct, and demonstrate Front Office duties and tasks to the required standard.
  • Implement a flexible employee base and allocate employees according to daily business levels.
  • Assign responsibilities to subordinates and check their performance daily.
  • Liaise with Revenue Management and Reservations to optimize market mix, room revenue, and sales leads.
  • Assist Sales Managers with heavy dates, booking conflicts, date changes, and facility changes.
  • Participate in the annual marketing plan and implement sales and promotional activities with workplace managers and Sales and Marketing.
  • Maintain guest and staff incident logs and submit reports to management.
  • Support staffing needs in other departments according to hotel priorities and anticipated business levels.
  • Monitor service and room standards and work with Department Heads on corrective actions.
  • Remain available and visible during peak periods and assist subordinates during peak hours.
  • Conduct inspections to ensure the lobby and operating equipment are presentable and functional.
  • Supervise Front Office employees and train them on required standards.
  • Control room keycards according to established procedures.
  • Secure external guest accommodation when overbooking occurs.
  • Ensure public areas remain clean and up to standard.
  • Use the OPERA system in Front Office operations.
  • Follow fire, emergency evacuation, accident, bomb-threat, and law-and-order procedures.
  • Integrate Accor spirit, values, and goals into daily operations.
  • Manage A/Club members, Frequent Flyer program members, and VIP guests.
  • Coordinate with Sales, Food and Beverage, and other department heads to service incoming groups, VIP guests, and FIT guests.
  • Ensure VIP, special-request, and long-stay rooms are blocked in advance.
  • Meet VIP and long-stay guests on arrival.
  • Pre-block rooms according to arrival times and inform Housekeeping.
  • Coordinate with Housekeeping and Engineering to block rooms for maintenance.
  • Handle guest and employee inquiries, complaints, and problems promptly and efficiently.
  • Build guest relationships and handle Front Office service complaints, requests, and inquiries.
  • Verify guest check-in and check-out service quality.
  • Spend time in the Front Office during peak periods to ensure effective operations.
  • Ensure Front Office services are available and delivered efficiently and courteously.
  • Maintain accurate guest-history records and pre-register recurring guests.
  • Adhere to employee handbook rules and hotel policies concerning fire, hygiene, health, and safety.
  • Report punctually in the correct uniform and name tag according to grooming standards.
  • Maintain personal appearance and hygiene standards.
  • Maintain working relationships with staff within Front Office and other departments.
  • Develop departmental training programs, assign training responsibilities, and meet monthly with Departmental Trainers.
  • Conduct annual performance appraisals and provide regular feedback on employee performance.
  • Attend and contribute to staff meetings, departmental training, and hotel training sessions.
