Requirements
  • A Bachelor's degree is typically required; courses in educational counseling or educational administration are recommended.
  • At least two years of experience in an academic setting, preferably advising students on curriculum.
  • Knowledge of undergraduate curriculum and evaluation of transcripts for transfer credit.
  • General knowledge of the workings of the College of Business Administration.
  • Working knowledge of Microsoft Word, Excel, and PowerPoint.
  • Ability to take initiative, work independently with minimal supervision, analyze and prioritize work, handle multiple assignments, comprehend academic programs, and work effectively with a diverse group of individuals.
  • Ability to perform administrative detail with discretion and independent judgment, maintain accuracy and speed, and protect confidential information.
  • Ability to adapt office procedures to changing rules and directions and apply them to specific situations.
  • Ability to counsel students regarding academic programs and career objectives.
  • Ability to work professionally and effectively with prospective and current students in a high-volume, high-pressure environment.
  • Thorough understanding of an online registrar database system and ability to use database content in relation to students' degrees and to track study programs.
  • Ability to communicate orally and in writing with students, parents in compliance with Buckley rules, faculty, and staff.
  • Strong project planning and management, interpersonal, organizational, and teamwork skills, with the ability to interface with all College of Business Administration personnel and work flexibly.
Responsibilities
  • Advise undergraduate College of Business Administration students throughout the academic year.
  • Implement and maintain the academic advisement program for all assigned advisees.
  • Assist the Director of Undergraduate Academic Advising in designing and continuously improving the undergraduate advisement process, working with other advisors to implement an integrated four-year program experience.
  • Advise incoming and current students about class schedules during the semester and before registration; remove advisor holds and permit students to register in recommended courses.
  • Coordinate with the advising team to meet evening advising and programming needs.
  • Review students' schedules after registration is completed.
  • Counsel undergraduate students regarding academic requirements and deficiencies and recommend appropriate disciplinary actions.
  • Make recommendations to the Director of Undergraduate Academic Advising regarding prerequisite overrides on a case-by-case basis.
  • Assist advisees with petitions and recommend course waivers, substitutions, and unit overloads for student schedules.
  • Prepare and maintain student files, including hard copies of important documents.
  • Inform advisees about university policy concerning Transfer Course Approval forms for students seeking to take courses at institutions other than Loyola Marymount University.
  • Recommend decisions to the Director of Undergraduate Academic Advising regarding course oversubscription requests, process overrides, and inform students of the final decision.
  • Coordinate functions and responsibilities for special projects, including AACSB accreditation documents.
  • Prepare reports requested by the Director of Undergraduate Academic Advising.
  • Represent Undergraduate Programs and the Student Engagement Office at Loyola Marymount University events, including First Year Students Convocation, Preview Day, Open House, and recruitment at junior colleges.
  • Assist faculty with questions and problems related to student records, academic holds, course audits, and other advising topics.
  • Perform other duties as needed and assist the Dean, Associate Dean, and Director of Undergraduate Academic Advising with special projects.
Desired Qualifications
  • An MBA or other advanced degree.
  • Familiarity with Office of the Registrar functions or a related area.
  • Knowledge and ability to use Banner, PROWL, or other registration programs.
  • First Year Experience programming experience.
