Responsibilities
  • Serve as the first point of contact for the office by welcoming visitors and directing them to appropriate team members.
  • Answer and route incoming business calls using a multiline phone system, take accurate messages, and respond to general inquiries.
  • Provide timely, professional assistance to customers, vendors, and other external partners.
  • Receive, sort, and distribute incoming mail, packages, and invoices while coordinating outgoing shipments and correspondence.
  • Maintain office supplies, inventory, and shared spaces to ensure an organized and professional working environment.
  • Schedule meetings and provide administrative support to executives and business leaders as requested.
  • Assist with company events, special projects, and other general office needs.
  • Send master bills of lading, loading confirmations, and revised confirmations to carriers and other appropriate parties.
  • Sort, rename, scan, and upload customs brokerage and shipping documents into the AS/400 system.
  • Organize incoming invoices and route them to the appropriate team members based on file number.
  • Coordinate the delivery of checks to the lockbox and original house bills of lading to the JFK branch, as applicable.
  • Perform additional clerical, administrative, and logistics-support responsibilities as assigned.

  • Previous administrative, customer-service, or office experience is preferred but not required.
