Requirements
  • Effective communication and interpersonal skills with the political acumen to interact with a diverse population of faculty, staff, students, and the general public.
  • Ability to lead a team and supervise direct reports, including onboarding employees, delegating responsibilities, organizing workflow, training and development, and conducting performance evaluations.
  • Ability to work collaboratively with OASA leadership and campus partners to identify problems, create solutions, and improve operational processes and procedures.
  • Skill in employing fundamental counseling techniques with sufficient sensitivity to assist students from diverse social, cultural, economic, and educational backgrounds with problem resolution and academic advising.
  • Demonstrated experience managing challenging situations and working with students in distress and/or academic difficulty.
  • Ability to multitask with frequent interruptions, manage fluctuating workloads, set priorities, apply time-management skills, work independently with minimal direction, think strategically, and work in demanding situations.
  • Working knowledge of University and School rules, regulations, policies, and procedures related to student affairs, academic programs, and curriculum requirements.
  • Familiarity with computer software, spreadsheets, programs, and databases to create, maintain, and modify databases and generate reports; ability to manipulate, track, and analyze data and learn new programs quickly.
  • Ability to conduct in-person and virtual workshops and presentations for student groups and college or university staff and faculty.
  • Skill in writing grammatically correct reports and correspondence.
  • A bachelor's degree in a related area or an equivalent combination of education and experience or training is required.
Responsibilities
  • Provide administrative and counseling support for undergraduate student affairs.
  • Assist in managing the daily operation of the Office of Academic and Student Affairs and its staff, acting jointly with and as backup for the Director.
  • Advise undergraduate students in mechanical and aerospace engineering, computer science, and computer science and engineering on policies, procedures, and degree requirements.
  • Assess, communicate, and record students' academic progress; review student petitions; and update databases.
  • Lead the commencement coordination team and oversee three support staff.
  • Plan, coordinate, and run the annual Henry Samueli School of Engineering and Applied Science commencement degree-conferring ceremonies.
  • Secure and authorize on-campus facility reservations, services, and purchases associated with commencement events.
  • Authorize and monitor event expenditures.
  • Develop, plan, and direct the logistical and ceremonial aspects of commencement events, securing staff and students to work at the events.
  • Oversee commencement awards, electronic notices, ticketing for eligible degree candidates, student data for the commencement program brochure, ceremony scripts, name cards, faculty attire, and the commencement website.
  • Supervise the lead computer science Student Services Advisor responsible for academic advising and Samueli School scholarships.
  • Supervise the lead computer engineering Student Services Advisor responsible for academic advising, the Graduate Schoolwide Recruitment Open House, the Graduate Schoolwide Orientation, and Graduate Housing allocations.
  • Supervise the lead civil engineering Student Services Advisor responsible for academic advising and course scheduling coordination for the School.
  • Assist with training new career staff and student workers and with developing policies and processes.
  • Produce statistical and analytical reports related to enrollment, scheduling, and other areas assigned by the Associate Dean or requested by academic departments.
  • Use online systems to carry out job duties.
  • Participate in occasional early-evening student informational events and weekend Office of Academic and Student Affairs events.
Desired Qualifications
  • Working knowledge of the Registrar's Office and student services such as the Career Center, the Center for Accessible Education, Counseling and Psychological Services, Dashew Center, Education Abroad Program, Financial Aid, and the Student Research Program.
  • Familiarity with University online systems and procedures, including student information systems, student records systems, Course Inventory Management System, MyUCLA, DARS, ASSIST, and Transferology.
