Requirements
  • A high school diploma or equivalent is required.
  • A minimum of 3 years of relevant experience is required.
  • Knowledge of office procedures and operations is required.
  • The ability to accurately prepare and maintain records, files, reports, and correspondence is required.

Responsibilities
  • Support the department and department leadership with daily clerical tasks.
  • Collect, review, and analyze complex or confidential data and prepare reports, charts, budgets, and presentation materials.
  • Respond to or route non-routine, priority, or confidential inquiries on behalf of department leadership.
  • Plan meetings and take detailed minutes as needed.
  • Answer phone calls, provide information to callers, and connect callers with appropriate staff.
  • Schedule appointments and update calendars.
  • Make travel arrangements and reservations for department leadership and staff as needed.
  • Compose and type correspondence and informative materials, and create spreadsheets and presentations.
  • Greet visitors and provide general support.
  • Develop and maintain the department filing system.
  • Adhere to University and unit-level policies and procedures and safeguard University assets.
  • Provide direct support to Medical Directors and act as a liaison facilitating operations.
  • Process pre- and post-travel requests in compliance with University policy.
  • Assist Medical Directors with documenting their time in the TERMS system.
  • Facilitate and attend leadership meetings, support Medical Directors, and follow up on meeting items.
  • Liaise between referring physicians and pathologists to facilitate pathology services.
  • Assist with recredentialing paperwork.
  • Support six to eight pathologists.
  • Update each faculty member's curriculum vitae monthly.
  • Set up and follow up on meetings and provide minutes.
  • Use BOX to document faculty professional allowance use in accordance with University policy.
  • Coordinate incoming faculty moves, including microscopes, offices, and staffing assistance.
  • Coordinate faculty recruitment.
