  • A high school diploma (Grade 12) or equivalent is required.
  • Strong computer skills, including Microsoft Word, Outlook, Excel, and other Microsoft Office applications, are required.
  • Excellent verbal and written communication skills are required.
  • Strong organizational and time-management abilities are required.
  • The candidate must provide exceptional customer service in a fast-paced environment.
  • The candidate must maintain confidentiality and exercise discretion.

Responsibilities
  • Serve as the first point of contact for visitors, community members, and callers.
  • Answer, screen, and direct incoming telephone calls professionally and courteously.
  • Greet and assist walk-in clients, visitors, contractors, and vendors.
  • Respond to general inquiries and direct individuals to the appropriate department or staff member.
  • Ensure visitors are welcomed and assisted in a timely manner.
  • Provide clerical and administrative support to various departments as required.
  • Prepare, type, format, and distribute correspondence and documents.
  • Assist with filing, scanning, photocopying, faxing, and other office duties.
  • Manage incoming and outgoing mail and deliveries.
  • Schedule appointments and maintain calendars when required.
  • Maintain daily attendance records and assist with collecting attendance information from departments.
  • Assist with maintaining office supplies and coordinating orders as required.
  • Maintain organized filing systems and records.
  • Support office events, meetings, and community functions as needed.
  • Develop a general understanding of Band programs, services, and departmental functions to assist community members effectively.
  • Provide accurate information and referrals to clients.
  • Maintain professionalism and confidentiality when handling sensitive information.
  • Perform other related duties assigned by the Executive Assistant or senior management.
Desired Qualifications
  • Previous experience in a reception, administrative assistant, or customer service role.
  • Knowledge of We'koqma'q First Nation programs and services.
  • Experience working with the public in a professional setting.
  • Experience using office equipment such as multi-line phone systems, scanners, copiers, and fax machines.
  • A friendly, approachable, and professional demeanor.
  • Strong interpersonal and communication skills.
  • Excellent telephone etiquette.
  • Attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Strong problem-solving and customer service skills.
  • Ability to manage multiple tasks and priorities.
