Requirements
  • Excellent written and verbal communication skills for effective communication with residents, employees, peers, vendors, and owners.
  • Bilingual written and verbal abilities may be required based on the specific needs of the property.
  • Experience with Microsoft Word, Microsoft Excel, Microsoft Outlook, YARDI, and E Site.
  • Basic understanding of landlord/tenant laws and applications, GAA leases and addenda, Fair Housing and Americans with Disabilities Act regulations and applications, and Occupational Safety and Health Administration and Environmental Protection Agency requirements for the property management industry.
  • A high school degree is required.
  • Four years of prior experience in property management or a related industry is preferred.
  • Experience with tax credits is required.
  • A valid driver’s license and current automobile insurance are required.
  • The ability to lift and carry up to 25 pounds occasionally is required.
  • Availability to work weekends, evenings, and/or holidays as scheduled is required.
Responsibilities
  • Perform all tasks related to renting apartment homes, including generating traffic, responding to telephone and internet inquiries, greeting and touring prospective residents, qualifying prospects, and closing leases by obtaining rental applications and deposits.
  • Visually inspect the entire property daily for cleanliness.
  • Process rental applications, obtain required documents, schedule move-ins, and prepare lease file documents.
  • Maintain lease files according to policy and procedure.
  • Accurately record traffic from all sources daily and convert a minimum of 30% of total traffic to leases.
  • Process resident move-outs by reviewing lease terms and notice requirements, applying deposits and lease cancellation fees when applicable, and processing dispositions under established procedures and legal requirements.
  • Follow company eviction procedures, including proper notices, evictions, and representation of the property in court hearings and eviction proceedings.
  • Track traffic, review advertisements, and develop potential marketing leads.
  • Perform cleaning and property upkeep tasks, including picking up trash, operating the trash compactor when necessary, carrying cleaning supplies, vacuuming stairs, and cleaning apartments to resident-ready standards.
  • Document occurrences requiring the manager’s attention and immediately contact the Area Vice President regarding emergencies.
  • Record resident service requests accurately and in detail to assist the service team.
  • Schedule and inspect apartments for turnkey service.
  • Receive and acknowledge resident notices and prepare files.
  • Complete lease renewal printouts, submit them for approval, contact residents before the end of their initial terms, send renewal letters, and type new leases.
  • Assemble move-in packages and deliver thorough move-in presentations to new residents.
  • Maintain monthly market surveys of competitor rates and visit competitors at least every six months.
  • Keep filing current.
  • Schedule guest apartment and clubhouse rentals.
  • Operate the office alarm system when opening and closing the office.
  • Complete RAM training within the specified timeframe.
  • Review monthly financial reports and supporting data with the Property Manager.
  • Maximize gross rent and minimize vacant and delinquent rent loss.
  • Calculate daily rent, prorated charges, late fees, and percentages.
  • Collect, date-stamp, and bank-stamp rent checks daily; make deposits at the specified bank office and follow cash procedures.
  • Notify residents of returned checks, post demands and file dispossessory actions when replacement checks are not received within 48 hours, and keep managers informed.
  • Make efforts to collect rental payments, including visiting residents’ apartments with an escort when necessary.
  • Monitor the cash receipts book.
  • Complete move-out statements, input payables, and send materials to accounting weekly.
  • Turn over collection files every 30 days and monitor and update payment plans monthly.
  • Ensure reporting is accurate and timely in the Property Manager’s absence.
  • Respond to resident complaints, questions, and requests promptly and take appropriate action to resolve service issues.
  • Deliver resident packages, flowers, newsletters, and correspondence.
  • Coordinate, set up, attend, and clean up after resident functions.
  • Act as the on-site manager in the Property Manager’s absence by organizing and delegating daily work, coordinating maintenance and make-ready tasks, and managing property operations in compliance with company policies.
  • Motivate leasing consultants and provide consistent verbal and written feedback.
  • Train and develop subordinates through on-the-job training and scheduled company training.
  • Assist in managing client and owner relationships by meeting with owners, conducting property tours, providing property performance updates, and responding to owner requests.
  • Assist the Property Manager and leasing staff with other assigned tasks.
  • Comply with RAM Property Management policies and attend work as scheduled.
  • Drive a golf cart on the property and drive to client and/or corporate locations when required.
Desired Qualifications
  • A college degree is preferred.
  • Four years of prior experience in property management or a related industry is preferred.
  • A Certified Property Manager or Accredited Residential Manager designation is preferred and may be required within six months of employment.
  • Ability to earn future designations required by industry standards.
