Requirements
  • At least one year of work experience directly communicating with and providing service to patients or the public; healthcare-related experience is preferred.
  • At least one year of experience effectively coordinating multiple tasks.
  • Basic personal computer and data entry skills.
  • Knowledge of medical terminology and telephone etiquette.
  • Ability to organize and prioritize work, provide oral and written instructions, interact tactfully with customers, and establish and maintain effective relationships.
  • Ability to apply departmental policies, rules, and regulations for verifying patient information, collecting payments, and maintaining records and forms.
  • Knowledge of basic grammar and mathematical principles normally acquired through high school education.
Responsibilities
  • Prepare for clinic visits by reviewing next-day patients and completing next-day preparation activities.
  • Enter pre-visit orders and prepare new patient charts; retrieve X-rays, office charts, medical records, reports, petty cash, and collection bags.
  • File history sheets, ancillary reports, and required patient record documentation, and return medical records.
  • Attach HIPAA and Medicare documents to encounter forms.
  • Check patients in upon arrival and verify patient demographic information in Maestro Care.
  • Edit Maestro Care as needed and complete check-in files and applicable alerts.
  • Identify the appropriate account for each patient visit.
  • Present and explain required forms and obtain signatures according to policy and procedure.
  • Collect and post copayments and account balances.
  • Imprint patient-specific chart documents and requisition/transmittal documents.
  • Copy, file, and distribute insurance cards according to procedure.
  • Coordinate requested laboratory tests and procedures.
  • Maintain private physician office charts and prepare encounter forms.
  • Investigate missing encounter forms and audit encounter forms for completeness and accuracy before batching.
  • Batch encounter forms or post charges in Maestro Care.
  • Schedule tests, procedures, and return appointments using the correct appointment type; enter primary or referring physician information.
  • Complete and distribute ancillary service requisitions.
  • Explain billing to patients according to Patient Revenue Management Organization credit and collection policies.
  • Determine the cash amount to collect based on the insurance plan.
  • Check patients out.
  • Answer telephone calls, take messages, and deliver messages to physicians, nurses, and others.
  • Accurately and promptly report medical information obtained from patients and referring physicians, and disseminate messages according to practice communication standards.
