Responsibilities
  • Provide financial and administrative support to the College of Science, Technology, Engineering, Mathematics and Management Administration.
  • Provide financial and administrative support and coverage to the schools and departments within the college as assigned and as needed.
  • Assist with employment contracts.
  • Reconcile salary and non-salary expenses.
  • Assist with grants and purchasing.
  • Manage inventory and perform internal auditing.
  • Provide financial guidance and training to faculty and staff on policy and procedure.
  • Manage syllabi, card access, and other assigned administrative duties.
  • Assist the Business Manager and Dean with financial oversight of all college funds.
  • Review and help maintain the college Foundation Data Model funding structure, including opening, closing, and modifying funding models as needed.
  • Help ensure the college and departments follow university policies and procedures.
  • Assist with submission and review of employment contracts.
  • Monitor and reconcile non-salary financials and take appropriate action to correct errors.
  • Monitor and reconcile faculty, staff, university staff, and student payrolls and take appropriate action to correct errors.
  • Compile quantitative and financial data and reports for the Business Manager, Dean, and other stakeholders.
  • Assist the Business Manager with the college budget process.
  • Assist with developing program and project budgets according to university policies and procedures.
  • Assist departments with developing and modifying rates for revenue-generating activities.
  • Assist with faculty, staff, and student grants, including reconciliation, purchasing, and student payroll.
  • Submit financial and administrative forms to maintain department records and operations.
  • Assist departments with annual Access to Learning and Special Course Fee submissions.
  • Maintain working knowledge of fiscal and human resource processes.
  • Develop training resources for the college.
  • Execute purchases by procurement card, purchase requisition, or direct pay.
  • Assist with capital equipment, computer, and key inventory management.
  • Assist with records and web management.
  • Process card access requests.
  • Organize and monitor the syllabi collection process each semester.
  • Cover the CSTEMM Dean’s Office front desk as needed.
  • Provide college, school, and department financial and administrative support staff coverage due to absences, leaves of absence, or vacancies.
  • Serve as recruitment coordinator or committee member for searches as needed.
  • Serve on university committees as needed.
  • Attend Business Facilitator meetings.
  • Assist with or manage college projects as assigned.
  • Coordinate projects and program components, including scheduling, logistics, unit workflow, and process improvement identification.
  • Identify, troubleshoot, and resolve problems involving technical systems and programs related to department operations.
  • Monitor department, unit, or program budgets and expenses and assist with developing program budgets and projections.
  • Provide operational guidance and training on day-to-day activities of student workers and program staff.
  • Serve as a primary point of contact for the department.
  • Develop, implement, and maintain organizational systems for electronic and physical records according to established policies and procedures.
  • Perform other duties as directed.
Desired Qualifications
  • Work experience in higher education or state or local government entities.
  • Knowledge of fund accounting.
  • Experience with Workday or other cloud-based software platforms.
