Requirements
  • At least 3 years of experience working in an administrative or customer service position.
  • Excellent proficiency in Microsoft Word, PowerPoint, and Excel.
  • Expert knowledge of Microsoft Outlook.
  • Ability to work effectively with other teams and staff members to reach viable solutions and goals.

Responsibilities
  • Build relationships with clients and client executive assistants.
  • Understand the business goals and objectives of each supported Partner and proactively help advance them.
  • Maintain and update contact and business-activity lists in the customer relationship management database.
  • Track and maintain sales activity and pipeline information for each Partner.
  • Identify clients who have not been contacted or require follow-up.
  • Execute requested follow-up calls for client mailings.
  • Assist the Marketing Department with coordinating customized mailings.
  • Prepare letters, proposals, and other documents using Oliver Wyman formatting styles.
  • Maintain Partner diaries and schedule internal and external meetings.
  • Assist with scheduling for complex projects as requested by the Partner or project team.
  • Coordinate travel and accommodation, including booking cars and rail tickets.
  • Develop an understanding of Partner scheduling and travel preferences.
  • Coordinate travel efficiently by grouping client meetings where possible.
  • Work with Human Capital to obtain work permits and visas.
  • Manage documents and project deliverables when requested.
  • Notify staffing and Practice Executive Assistants of extensions and renegotiations.
  • Manage the storage or disposal of confidential client information.
  • Act as the central point of contact for assigned Partner administrative needs and liaise with support departments.
  • Prepare weekly timesheets for each assigned Partner.
  • Prepare expense reports and delegate preparation to a team assistant when necessary.
  • Provide coverage for Executive Assistants who are out of the office.
  • Provide short-term coverage for Partners during Executive Assistant assignment transitions or when they are new to the firm.
  • Provide training and support to new Executive Assistants.
  • Participate in team meetings and projects to improve processes and the overall performance of the Executive Assistant team.
Desired Qualifications
  • A bachelor's degree.
  • Experience in financial services, management consulting, or a professional services environment.
  • Knowledge of Salesforce.
