  • High school graduation or equivalent.
  • A minimum of 2 years of recent related experience or an equivalent combination of training and experience.
  • Intermediate computer skills, including Microsoft Outlook, Microsoft Word, and Microsoft Excel.
  • Good verbal and written communication skills.
  • Ability to maintain a high degree of accuracy under stress.
  • Excellent time management skills and the ability to meet deadlines.
  • Fluent English communication skills, both verbally and in writing.

Responsibilities
  • Greet and welcome visitors, confirm they are on the designated visitor list, and ensure they meet applicable policies and procedures.
  • Answer, direct, and respond to phone calls and queries.
  • Handle incoming and outgoing mail, order office supplies, and manage the shipping and receiving of supplies.
  • Put together move-in packages and input resident move-in data, including contact information, into PointClickCare.
  • Maintain accurate and current records, including resident and tenant statistics.
  • Provide support for special events in the home.
  • Perform clerical duties including filing, word processing, typing meeting minutes, and sorting and distributing incoming and outgoing mail.
  • Order office supplies for printers, fax machines, photocopiers, and related equipment.
  • Develop, update, and maintain lists such as emergency employee fan-out telephone lists and resident lists.
  • Book visitors' suites as applicable; distribute and collect keys; and collect, account for, and deposit funds into the bank.
  • Manage residents' trust accounts, including paying bills, requesting cash, reconciliation, bank deposits, and electronic statement documentation.
  • Bill accommodation charges and other charges according to move-in agreements, and support move-in processes, paperwork, and financial setup.
  • Receive cheque and cash payments and provide receipts.
  • Prepare and mail monthly resident and tenant pre-authorized payment information slips.
  • Prepare and mail annual tax forms and accommodation or rent change letters.
  • Upload and code accounts payable invoices in Beanworks.
  • Support payments in the general store or tuck shop and for bus tickets and stamps.
  • Participate in meetings, take minutes, and assist with training programs.
  • Arrange tours and support visitors touring the building.
  • Maintain strict confidentiality of information gained through the employment relationship.
  • Promote and foster the workplace health and safety program.
  • Promote positive customer relations and demonstrate courtesy, care, understanding, compassion, and respect for residents, families, visitors, co-workers, and volunteers.
  • Use safe work procedures, promote health and safety awareness, make safety suggestions, and read posted occupational health and safety minutes.
  • Take reasonable precautions to protect the safety of residents, self, employees, and the public.
  • Report near misses, injuries, accidents, or equipment damage to the supervisor immediately and complete required reports.
  • Correct or report unsafe conditions and set a good example.
  • Perform other related duties as assigned.
Desired Qualifications
  • Certification in health care office management is preferred.
  • Strong customer service skills and experience working with seniors are preferred.
  • Prior work or volunteer experience working with seniors is preferred.
