Requirements
  • Minimum five years of administrative or customer support experience.
  • Strong organizational and time management skills.
  • Ability to manage multiple priorities with accuracy and attention to detail.
  • Professional written and verbal communication skills.
  • Discretion and sound judgment.
  • Ability to work independently and escalate issues appropriately.
  • Stakeholder coordination.
  • Event and meeting coordination experience.
  • Completion of internal financial, procurement, or research compliance training is required.
Responsibilities
  • Provide general administrative support to the academic grouping and its faculty.
  • Track and maintain departmental records.
  • Coordinate the faculty leave request process when assigned.
  • Support departmental committees.
  • Assist with unit personnel management and onboarding; train, assign, and direct work for support staff, students, LHTs, and temporary employees when assigned, and serve as a backup time approver.
  • Support departmental activities, including coordinating research appointments, hosting seminars and visitors, managing the course catalog, and directing faculty to appropriate central services when applicable.
  • Order supplies, submit expenses, maintain common areas, and sort mail.
  • Handle confidential department matters with discretion.
  • Serve as departmental liaison to the centralized communications team by gathering and coordinating unit-specific content, updates, calendars, contact information, and other materials.
  • Perform space management, room scheduling, systems management, liaison activities with Harvard University Information Technology, and front-office coverage when needed.
  • Coordinate and execute department-wide events and meetings with central services as applicable.
  • Serve as lead administrator for grouping-level projects or programs under general guidance.
  • Support the Chair and other department leaders on department-wide initiatives by scheduling meetings and events and assisting with logistics.
  • Draft and distribute internal and external reports and communications on behalf of the Chair.
  • Coordinate and lead preparations for department faculty meetings and draft meeting agendas and minutes.
  • Perform other related duties as assigned.
