Requirements
  • A high school diploma and two years of experience in an administrative capacity or customer service field, or an equivalent combination of education and experience.
  • Experience with medical terminology is required.
  • Reliable transportation is required to travel to multiple sites.
Responsibilities
  • Coordinate activities of Outpatient Access employees and serve as a resource to staff performing those functions in a clinic setting.
  • Monitor and ensure that all functions are completed accurately, efficiently, and in a customer-friendly manner.
  • Coordinate staff training activities, including scheduling training for newly hired staff, creating learning schedules, monitoring compliance with in-services and competency achievement, and developing further education programs.
  • Assist clinic leadership with operational support, including personnel-related matters, performance evaluations, and plans for improvement in staff completion of assigned activities.
  • Serve as the front office electronic medical record superuser and assist with workflow design and implementation.
  • Support referral coordination, prior authorizations, and direct provider support as assigned.
  • Assist staff with complex decision-making and adaptation to technology and systems.
  • Train staff and coordinate the assignment and duties of Outpatient Access employees and less experienced support staff.
  • Perform Outpatient Access duties as required by departmental needs and set standards for customer service, accuracy, and efficiency.
  • Perform assigned specialized functions, including Human Resources, prior authorizations, referral coordination, or direct provider support.
  • Identify, implement, and monitor operational changes to improve clinic functioning with supervisors and clinic staff.
  • Update and create policies and procedures and incorporate approved new functions into the role.
  • Review front-end staff compliance dashboards against enterprise metrics, follow up with providers to reconcile discrepancies, and recommend workflow updates.
  • Handle patient and family complaints, initiate service recovery activities, and troubleshoot problems.
  • Partner with the Clinic or Practice Manager to implement activities that improve office culture and employee engagement.
  • Maintain clinic schedules, instruct appointment scheduling staff about schedule changes, and review future schedules to identify problems.
  • Review management reports and schedules, report trends affecting schedules, and recommend changes to improve patient flow.
  • Work on assigned special projects and interface with leaders from registration insurance management, enterprise training, patient financial services, and other departments.
