Job Description
We are looking for a highly organized and proactive HR and Executive Assistant to support our HR and Executive teams on a 1-year fixed-term contract. The ideal candidate will assist with a wide range of administrative tasks, including travel bookings, event coordination, meeting room arrangements, diary management for MPs, and HR administrative support. This role requires someone who is detail-oriented, with excellent time management skills, and the ability to handle multiple tasks efficiently. Previous HR knowledge is not required but would be a plus.
Key Responsibilities:
- Executive Support:
- Manage complex diaries and schedules for senior leadership and MPs.
- Organize and coordinate travel arrangements, including flights, accommodation, and transportation.
- Plan and schedule events, conferences, meetings, and room bookings.
- Assist in organizing logistics for meetings and conferences, ensuring all materials and resources are prepared in advance.
- HR Administration:
- Provide administrative support to the HR team, including document management, filing, and data entry.
- Help prepare HR reports, process employee requests, and maintain employee records.
- Support with employee onboarding, including coordination of new starter documentation and inductions.
- General Administration:
- Handle incoming calls, emails, and other communication on behalf of executives.
- Coordinate the ordering of office supplies and maintain inventory.
- Ensure smooth office operations and assist with any ad-hoc administrative tasks as required.
Key Requirements:
- Education and Experience:
- Proven experience as an Executive Assistant, HR Assistant, or in a similar administrative support role.
- Experience with diary management, travel coordination, and event planning.
- Prior experience in HR administration is advantageous, but not essential.
- Skills:
- Exceptional organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- A proactive approach with the ability to work independently and manage competing priorities.
- Ability to handle confidential and sensitive information with discretion.

Additional Information:
This role will be office-based in London, with 3 days required in the office each week.
The contract is for a 1-year fixed-term with the potential for extension, depending on business needs.
