Requirements
  • Experience in the Occupancy Planning field or a detailed, report-oriented environment
  • Experience in PowerPoint for presentations and Executive decks/reporting
  • Medium to high level of computer experience working in a database environment
  • Basic arithmetic as it relates to processing of purchase orders, billing, and invoices
  • Basic to mid-level knowledge of apps such as SLACK, Quip, Box
  • Knowledgeable with MS Office, especially Excel
  • Not be afraid of data entry (data is our friend)
  • Ability to read and understand CAD drawings
  • Ability to communicate effectively with employees at all levels of the company
  • Ability to organize large volumes of data related to report generation and know and understand VLOOKUP and create Pivot tables

Responsibilities
  • Analyze and synthesize space management data for decision-making insights
  • Input data from several sources into the facility management program (FMI)
  • Process all moves, new hires, and terminations
  • Provide data and analysis for strategic facilities decision support using FMI and Power BI
  • Create accurate pictures of space/employee usage using a Facility Management program (FM Systems – FMI)
  • Audit and survey sites in person, on-site and off-site, for data accuracy; update records as needed
  • Update seating assignments and office layout changes for staff
  • Maintain precise floor plan details and space data
  • Report any structural or furniture layout changes to the Workplace Team so they can create changes in the facility management system (FMI)
  • Update and maintain lease information
  • Track and listen in on furniture or construction project meetings we are involved in, inputting information in team document
  • Track and listen in on calls/meetings regarding department software
  • Manage move or occupancy-related communication
  • Manage invoicing for the team
  • Create and maintain shared Box folders for projects or reporting
  • Track all department work – Current and future on Monday.com
  • Support to Workplace Team as needed
  • Support for the creation of executive decks and presentations
  • Order supplies when needed
  • Manage vendors and process invoices
Desired Qualifications
  • Experience working in and understanding an IWSM program such as FMI (FM Systems), or any similar workplace software or multi-layered databases
  • Experience in working around or tracking construction projects and software launches, which involves timelines, deadlines, and managing expectations
  • Experience at a studio lot or entertainment environment
  • Experience with complicated processes that interact with each other
  • Furniture experience
  • Belong to or certified with IFMA or BOMA
  • Knowledge of Space IQ, EMS, WorkDay, Power BI, Coupa, Outlook
  • Skills with Monday.com
  • Flair for graphic presentations in reporting
