Requirements
  • A bachelor's degree or equivalent combination of education and experience is required.
  • Three years of administrative experience are required.
  • Experience working in higher education, office administration, or program coordination is required.
  • Strong planning, organizational, and time management skills are required.
  • Ability to organize work effectively and prioritize objectives with discretion, independent judgment, and initiative is required.
  • Ability to adapt rapidly to changing situations or last-minute challenges is required.
  • Ability to multitask and work cooperatively with others is required.
  • Strong interpersonal skills, excellent verbal and written communication skills, and attention to detail are required.
  • Strong knowledge of word processing, spreadsheet, database, and presentation software is required.
Responsibilities
  • Serve as assistant to the Department Head and Associate Department Heads.
  • Coordinate and manage daily office support activities and administrative interactions.
  • Coordinate and provide solutions to routine and complex, confidential, and highly sensitive administrative matters.
  • Monitor office procedures and adherence to compliance.
  • Serve as liaison for departmental faculty affairs processes, including faculty recruiting and hiring, offer letters, tenure and promotion, reappointments, evaluations, and document organization.
  • Organize and schedule monthly faculty meetings, take meeting minutes, and provide on-site departmental support.
  • Coordinate travel arrangements and reimbursement for the department head and other faculty members.
  • Coordinate the retention of office records and resources in digital and hard-copy formats.
  • Participate in planning and executing administrative operations.
  • Make recommendations for process improvements, administrative changes, and new initiatives.
  • Assist with budget development and management as needed.
  • Research, compile, and apply information to make evaluative judgments.
  • Review and sign documents for the supervisor as needed.
  • Attend meetings or committees on behalf of the supervisor as needed.
  • Analyze programs, projects, or initiatives.
  • Monitor project timelines and identify issues.
  • Adapt, combine, and improve services, processes, or programs.
  • Assist with departmental events.
  • Perform other duties as assigned.
Desired Qualifications
  • Previous experience managing research or academic programs at Texas A&M University is preferred.
  • Experience with Texas A&M University systems such as Emburse, Aggie Buy, Interfolio, and Laserfiche is preferred.
  • Ability to learn new systems or software independently is preferred.
  • Ability to cultivate and maintain professional working relationships is preferred.
  • Basic website or online portal experience is preferred.
  • Project management and event coordination experience are preferred.
  • Experience managing budgets and accounting matters is preferred.
