Requirements
  • A minimum Associate Degree with two years of business or administrative training or experience is required.
  • Computer literacy and knowledge of Microsoft Word, Excel, PowerPoint, and Outlook are required.
  • Accurate typing skills of at least 40 words per minute are required.
  • A pleasant telephone manner and attention to detail are required.
  • The ability to work in a fast-paced environment while maintaining a positive demeanor is required.
  • Excellent organizational, time-management, and interpersonal skills are required.
  • People skills and customer-service experience are required.

Responsibilities
  • Answer phones and take messages.
  • Type and prepare reports, meeting minutes, and plans requested by the Operational Manager and/or Director of the DDS Department.
  • Perform typing and clerical needs for the DDS Department.
  • Research necessary information for programs.
  • Monitor office supplies and equipment and order supplies as needed.
  • Maintain accurate ledgers according to agency regulations for expenses and contributions submitted from programs.
  • Check submitted documents and requests for accuracy and requirements before submitting them to the Social Services Administration for approval.
  • Submit program requests for approval to the Social Services Administration.
  • Communicate identified inaccuracies to program staff and monitor resubmission of requests.
  • Keep records of all documents processed through the DDS Department.
  • Submit financial and statistical reports as requested by the Operational Manager.
  • Attend meetings relevant to fiscal matters as assigned by the Operational Manager and/or Director of the DDS Department.
  • Perform clerical functions for multiple programs, including data entry, filing, and distributing mail.
  • Handle billing matters by processing check requests, interacting with vendors, and maintaining petty cash.
  • Establish and maintain files and records according to agency regulations, including staff timesheets.
  • Manage office petty cash and submit receipts weekly.
  • Work with external vendors to obtain outstanding invoices.
  • Supervise and train volunteers to ensure compliance with agency standards.
  • Contact vendors for pricing and prepare appropriate payment requests.
  • Set up prospective candidates for interviews for senior staff openings.
  • Complete a weekly meeting with the Operational Manager to provide department updates.
  • Gather employee timesheets weekly, secure department-head approval, and submit them to payroll.
  • Attend meetings, seminars, and job fairs as assigned by the Operational Manager and/or Director of the DDS Department.
  • Sweep and mop to maintain a neat and organized environment in the DDS office.
  • Follow up with programs and the Maintenance Supervisor and submit credit-card receipts related to the DDS program.
  • Keep records of supplies within the DDS offices and report deficiencies.
