Requirements
  • For Legal Secretary I, a high school diploma or equivalent is required.
  • For Legal Secretary I, two years of secretarial experience including at least one year in a legal environment, or four years of administrative support or general clerical experience, is required.
  • For Legal Secretary II, a high school diploma or equivalent and two years of post-secondary education are required.
  • For Legal Secretary II, three years of directly relevant legal secretarial experience are required.
  • Applicants must successfully complete the State Bar’s selection process for the applicable classification.
  • Knowledge of centralized information and data record-keeping systems, legal secretarial support principles, modern office practices and procedures, Microsoft Office, case management system applications, legal proceedings, legal research, legal terminology, filing requirements, grammar, spelling, punctuation, and business mathematics is required.
  • The role requires accomplished legal writing and computer keyboarding skills; the ability to organize legal files and records, work independently and cooperatively, manage multiple tasks and deadlines, exercise judgment and initiative, communicate detailed information, review complex written documents, and maintain confidentiality of sensitive State Bar information.
Responsibilities
  • Provide administrative and legal secretarial support to State Bar Court judges, the Clerk of the Court, Court Counsel, attorneys, and assigned legal teams.
  • Distribute and track attorney assignments, proofread decisions, maintain supply inventories, prepare expense reports and purchasing-card statements, and make travel arrangements.
  • Type, assemble, proofread, edit, format, and produce pleadings, briefs, motions, contracts, subpoenas, memoranda, letters, proposals, correspondence, reports, and other legal documents for filing.
  • Check legal citations, oversee document production, distribute documents to courts and in-house personnel, and ensure litigation deadlines are met.
  • Extract and enter data into databases and spreadsheets; filter, sort, count, and perform other spreadsheet functions.
  • Calendar court appearances, make appointments, create and maintain legal files and indices, date-stamp, fax, scan, and copy documents, and screen and route telephone calls.
  • Process new case assignments and monthly random audits by preparing letters, printouts, and emails, entering data, and delivering files.
  • Track legislative research and analyze internal data, policies, legal subject matter, labor law, and recent court decisions.
  • Assist with committee and other meetings by preparing, distributing, and printing notices, agendas, materials, and minutes.
  • Format, cite, check, and edit Review Department opinions, maintain version control, and track opinions from oral argument through timely filing and, when applicable, publication.
  • Provide rotational coverage for other Legal Secretaries during staff absences.
  • Legal Secretary II may perform paralegal and office support duties in legislative support, litigation support, legal and policy research, contract administration, transactions support, and executive legal support.
Desired Qualifications
  • Two years of post-secondary education for Legal Secretary I.
  • Experience with Microsoft Word and Excel.
