Requirements
  • A Bachelor's Degree in Communications, Public Affairs, Nonprofit Management, or a related field.
  • At least 3 years of experience in direct event management.
  • Experience supporting senior administrators, faculty, and gift officers.
  • A Master's Degree in Public Administration, Higher Education, or a related field is preferred.
  • At least 5 years of experience in strategic event planning and donor engagement is preferred.
  • Experience in academic medicine, healthcare, or development is preferred.
  • Experience with customer relationship management systems and project management tools is preferred.
  • Experience in healthcare or higher education fundraising events is preferred.
  • Availability to work extended hours, including nights and weekends, as needed.
  • Occasional travel may be required.
  • A criminal history background check is required for finalists.
  • Authorization to work in the United States must be verified through Form I-9 and E-Verify.
Responsibilities
  • Contribute to the annual events strategy by providing insights, recommendations, and operational expertise aligned with institutional priorities and fundraising goals.
  • Lead execution of strategic event plans supporting donor cultivation, stewardship, campaign priorities, and prospect engagement.
  • Translate strategic direction into donor-centric event programming that advances relationship-building.
  • Identify and secure faculty, speakers, and program participants to support enterprise event objectives and messaging.
  • Lead the planning and execution of a portfolio of in-person, virtual, and hybrid events.
  • Oversee day-to-day event management, including timelines, logistics, run-of-show development, and onsite execution.
  • Serve as project lead for assigned events, coordinating across stakeholders and escalating key decisions and risks to senior leadership as appropriate.
  • Partner with communications and development teams to implement messaging, scripts, and event materials reflecting established strategy and brand standards.
  • Manage event budgets and track expenses within approved parameters, advising leadership on risks or optimization opportunities.
  • Submit required financial documentation end to end.
  • Lead sourcing, negotiation, and coordination of vendor contracts in compliance with institutional policies.
  • Maintain and strengthen vendor partnerships to support efficient execution and high-quality delivery.
  • Provide day-to-day coordination and guidance to event staff, including delegation, support, and alignment on priorities.
  • Lead staffing plans and oversee onsite team coordination.
  • Execute post-event evaluation processes, including survey tracking, reporting, and return-on-investment analysis.
  • Maintain and enhance operational processes, tools, and documentation to improve efficiency, consistency, and team effectiveness.
  • Ensure all data is accurately reflected in the customer relationship management system.
  • Support special projects such as campaign branding refreshes and creative audits.
  • Assist with feasibility studies and quiet-phase campaign strategies.
  • Adhere to internal controls and reporting structures.
  • Perform related duties as required.
