Requirements
  • An Associate's Degree in a related field is required.
  • Knowledge of accounting, business practices, training content development, budget analysis, and budget tracking is required.
  • Proficiency with the Microsoft Office suite or an equivalent is required.
  • Three or more years of related work experience is required.
  • The role requires strong customer service skills, strong written and verbal communication skills, the ability to meet deadlines, work with minimal supervision, and the ability to manage and maintain confidential information.
Responsibilities
  • Provide budget support to Housing staff, including managing departmental P-cards, reconciling and documenting transactions, creating requisitions, processing invoices and purchase order receipts, tracking budget issues, providing solutions, preparing monthly budget reports, and managing billing systems.
  • Coordinate recurring meetings, update the Housing website, maintain the organizational chart and staff directory, record meeting minutes, support hiring and onboarding, and manage and audit employee files in compliance with FERPA, college policy, confidentiality, and retention requirements.
  • Communicate with students, families, prospective residents, Housing staff, and residents, and redirect calls as necessary.
  • Assist the Director of Housing in producing annual budget projections for the next fiscal year.
  • Manage key inventory and distribution, and order department office supplies, staff uniforms, and equipment.
  • Provide leadership for annual and semi-annual appreciation events and meetings.
  • Collaborate with college partners to verify student academic status, communicate with Financial Aid regarding students with financial holds, communicate with the Office of Community Standards regarding conduct status, and monitor the student housing exemption list.
  • Produce and remediate digital materials in compliance with Americans with Disabilities Act and Section 508 accessibility standards.
  • Provide responsive service and housing support to students, ensuring equitable access to campus housing resources and opportunities.
  • Perform other duties as assigned.
Desired Qualifications
  • A Bachelor's degree in a related field from an accredited institution is preferred.
  • Previous administrative experience in higher education, student housing, or student services is preferred.
  • Experience with StarRez, Workday, Maxient, or comparable systems is preferred.
  • Experience supporting hiring, onboarding, or human resources processes is preferred.
  • Experience supervising or coordinating student employees is preferred.
  • Experience with P-Card reconciliation, purchase orders, or check requests in a higher education or government setting is preferred.
  • Six or more years of related work experience is preferred.
