Requirements
  • A high school diploma or equivalent is required.
  • Ability to read, write, and comprehend simple instructions.

Responsibilities
  • Perform clerical, receptionist, dispatching, and admitting or discharge duties in support of the assigned patient care department.
  • Greet patients and complete admitting functions upon arrival to the department.
  • Complete admitting information in the computer, locate and assign beds, and notify the referring physician of admission when requested.
  • Communicate transfer information when patients move between hospital locations, complete transfer functions in the computer, notify receiving departments, obtain bed assignments, and dispatch support associates.
  • Complete clerical discharge functions, disassemble patient records after discharge orders, schedule follow-up appointments, arrange transportation, complete discharge functions in the computer, and fax discharge summaries to designated areas.
  • Coordinate and facilitate communication for efficient intradepartmental and interdepartmental operations.
  • Communicate with departments regarding admitted, discharged, transferred, or deceased patients and communicate patient information and unit needs within the department.
  • Answer telephone calls and patient intercoms courteously and timely, identify the department, dispatch appropriate personnel, and accurately route telephone or visitor messages.
  • Welcome visitors and provide assistance or information in accordance with hospital policy.
  • Provide physicians and others with requested information about patient or department routines in accordance with hospital policy.
  • Enter written physician orders into the EPIC system accurately and timely.
  • Generate Kardex and Medical Admission Records from Merlin after entering admission orders and distribute documents appropriately.
  • Schedule laboratory work, X-rays, and diagnostic procedures and forward documents to appropriate individuals.
  • Complete laboratory requisitions and other forms accurately according to departmental procedure.
  • Phone consultations to other services accurately and timely.
  • Maintain communication with patient care departments, including Dietary and Physical Therapy, to meet patient care needs.
  • Coordinate patient transportation and dispatch patient care personnel at the request of ancillary departments.
  • Organize and maintain patient and department records to ensure accurate and complete documentation.
  • Prepare patient identification bands and name tags accurately.
  • Assemble, maintain, and break down patient charts; review printed orders for stat, laboratory, and diagnostic tests; and advise the registered nurse of stat orders.
  • Record laboratory results reported by telephone and immediately alert the registered nurse to abnormal results.
  • Maintain office-supply stock levels.
  • Compile statistical or unit activity data for the department as assigned.
Desired Qualifications
  • Graduation from a Medical Assistant program or secretarial school is preferred.
