Requirements
  • Bachelor's degree or equivalent combination of education and experience.
  • At least 3 years of experience in an academic healthcare environment.
  • Working knowledge of computer systems and Microsoft Office applications.
  • Ability to manage multiple priorities and deadlines accurately and in compliance with requirements.
  • Ability to communicate and build relationships effectively with physicians, residents, faculty, leadership, and external partners.
  • Ability to work independently as part of a collaborative team.
  • Experience with technology and ability to learn and manage systems such as MedHub, ERAS, Thalamus, OurDay, Axiom, and the ACGME Accreditation Data System.
Responsibilities
  • Ensure ongoing compliance with ACGME requirements, institutional policies, and accreditation standards.
  • Maintain ACGME Accreditation Data System information, including resident and faculty rosters, scholarly activity, block schedules, and rotation goals and objectives.
  • Coordinate ACGME site visits, reports, meetings, and accreditation preparation.
  • Maintain resident and faculty evaluations, duty hours, vacation leave, training histories, portfolios, schedules, conference attendance, faculty accounts, and required reports in MedHub.
  • Maintain Clinical Competency Committee information, resident dashboards, progress reports, and clinical competency milestones.
  • Coordinate resident licensure, Drug Enforcement Administration registration, South Carolina Department of Health and Environmental Control requirements, certifications, Advanced Cardiovascular Life Support, and other regulatory requirements.
  • Manage rotation, conference, and call schedules and update MedHub and the Simon on-call system accurately.
  • Partner with the Program Director on lectures, educational materials, resident and faculty reporting, continuing medical education, affiliation agreements, and program documentation.
  • Liaise with the Corporate Graduate Medical Education Office, hospital departments, faculty, residents, and external institutions.
  • Assist with policies, procedures, the resident manual, accreditation reporting, Grand Rounds, morbidity and mortality conferences, guest speakers, and off-campus educational opportunities.
  • Identify opportunities to improve processes and strengthen the resident experience.
  • Coordinate the complete residency recruitment process through the Electronic Residency Application Service, Thalamus, interviews, and Match Day.
  • Review and organize applicant materials, academic records, recommendations, transcripts, and board scores.
  • Coordinate interview schedules, candidate visits, recruitment dinners, social activities, and applicant communications.
  • Prepare Electronic Residency Application Service and Thalamus data and reports to support faculty ranking for the National Resident Matching Program.
  • Maintain communication with applicants, residents, faculty, leadership, and Graduate Medical Education throughout recruitment.
  • Coordinate post-Match Day activities with incoming residents, Graduate Medical Education, hospital leadership, South Carolina licensure contacts, Global Health, and other partners.
  • Manage onboarding materials and resident portfolios within MedHub.
  • Coordinate orientation schedules and activities for incoming residents.
  • Support resident onboarding, development, and success as a resource and liaison.
  • Manage program procurement, expense budgets, reimbursements, and cost-center activity.
  • Maintain oversight of resident salary and benefits.
  • Coordinate logistics for program meetings, conferences, and events.
  • Manage agreements and procurement activities.
  • Monitor program expenses and provide insight into budget activity.
  • Review journal entries in OurDay and monthly income statement reports in Axiom.
  • Provide administrative support for the residency program.
Desired Qualifications
  • Previous experience in Graduate Medical Education or education/teaching.
