Requirements

Responsibilities
  • Ensure all administrative operations run smoothly and efficiently.
  • Coordinate, plan, and direct services that support the department.
  • Plan and coordinate staff duties and analyze complex administrative concerns.
  • Develop and implement department processes.
  • Recruit and train office support staff.
  • Manage staff in the day-to-day performance of their jobs.
  • Ensure projects and department milestones and goals are met while adhering to approved budgets.
  • Purchase and maintain office equipment and supplies.
  • Track and analyze operational costs.
  • Coordinate delivery of office services with other departments.
  • Ensure employees are trained on controls within the function and on university policies and procedures.
  • Provide day-to-day administrative and operational support to the Sylvester Myeloma Institute Medical Director and Director of Administrative Operations, including support for Institute priorities, special projects, and ongoing operational needs.
  • Manage and coordinate the Medical Director’s complex calendar, including meetings, conferences, speaking engagements, faculty commitments, visitors, and other internal and external activities.
  • Initiate, process, and monitor Workday transactions and other administrative requests, including requisitions, reimbursements, purchase orders, expense reports, procurement requests, and related departmental transactions.
  • Assist with financial administration and account reconciliation activities, working with the Director of Administrative Operations to monitor departmental, gift, grant, research, and other Institute accounts and expenditures.
  • Maintain organized tracking systems for financial and administrative activities, including gifts, grants, research accounts, purchases, commitments, and other departmental resources.
  • Coordinate and facilitate meetings, seminars, visiting faculty programs, retreats, special events, and other Institute initiatives, including scheduling, logistics, communications, materials, and day-of-event support.
  • Work with the Director of Administrative Operations to coordinate faculty and staff activities, maintain organizational processes, track action items and deadlines, and support follow-up on Institute priorities and deliverables.
  • Serve as an administrative liaison between Institute leadership, faculty, staff, and internal University and Sylvester departments to facilitate communication, resolve administrative matters, and ensure timely completion of requests.
  • Support faculty recruitment, onboarding, visitors, and other personnel-related administrative activities in collaboration with Institute leadership and appropriate University departments.
  • Assist the Director of Administrative Operations with special projects, reporting, operational planning, process improvements, and initiatives supporting the continued growth and strategic priorities of the Sylvester Myeloma Institute.
