Requirements

Responsibilities
  • Prepare balance sheets, profit and loss statements, and other financial reports.
  • Analyze trends, costs, revenues, financial commitments, and obligations to predict future revenues and expenses.
  • Report department finances to management and provide suggestions about resource utilization, tax strategies, and budget forecast assumptions.
  • Verify the accuracy of journal vouchers and accounting classifications.
  • Examine and reconcile expenditure and revenue accounts.
  • Review and approve reimbursements, check requisitions, and purchase orders.
  • Assist with the fiscal year-end process, including necessary accrual entries.
  • Develop, analyze, audit, reconcile, and monitor fiscal reports based on current and historical revenues and expenditures.
  • Participate in planning long- and short-term business objectives.
  • Follow University and unit-level policies and procedures and safeguard University assets.
  • Monitor, reconcile, and assist with departmental fiscal administration, including budgets, funding, contracts, and purchasing.
  • Process departmental invoices for payment.
  • Obtain Facilities Manager approval for invoices before sending them to Accounts Payable.
  • Verify that purchase orders are valid and accurate and have sufficient funds before sending invoices to Accounts Payable.
  • Work with outside vendors, contractors, and suppliers to keep the department current with invoices and bills.
  • Create purchase order, change order, and unnecessary open purchase order closeout requests through Workday.
  • Perform charge-outs and cost recoveries.
  • Prepare, examine, and analyze accounting records, financial statements, and financial reports to assess accuracy, completeness, and conformity with reporting and procedural standards and identify trends and material variance explanations.
  • Develop, maintain, and analyze budgets and prepare periodic budget-to-actual cost reports.
  • Identify process improvement opportunities and assist with implementation for departmental projects and initiatives.
  • Interact with auditors, provide audit documentation, and answer follow-up questions.
  • Report to management on the department's financial standing.
  • Prepare reports and variance analyses as needed.
  • Review, investigate, and resolve accounting discrepancies and irregularities.
  • Record journal entries as needed.
  • Assist with reporting year-end accruals.
