Requirements

Responsibilities
  • Maintain complete and systematic records of financial transactions in accordance with applicable federal, state, and school board rules, regulations, policies, and laws.
  • Review and reconcile accounts and budget reports monthly and examine statements and reports for accuracy in support of evaluations and audits.
  • Analyze and verify school budget reports for compliance with local, state, and federal fiscal requirements.
  • Compose complex financial correspondence for the principal’s signature.
  • Assist the principal with budget development.
  • Initiate and prepare budget transfers and amendments.
  • Purchase school materials using approved purchasing methods, initiate purchase order requests, obtain quotes and approvals, maintain transaction records, and review and distribute received merchandise.
  • Initiate and review school contracts and prepare supporting documentation for policy and procedure compliance.
  • Initiate and prepare payment requests, including direct payments, purchase orders, and travel requests; verify documentation and balances, apply budget codes, obtain approvals, resolve discrepancies, and maintain transaction files.
  • Process school purchasing-card transactions, track expenditures, and reconcile balances with Oracle monthly.
  • Manage the school checking account, including auditing receipt books, collecting and verifying funds, delivering funds to the bank, issuing school checks, reconciling the bank account, posting activity in online payment software, reconciling activity with Oracle, and assisting with district audits.
  • Train the backup bookkeeper on essential Fund 6 bookkeeping duties.
  • Answer staff and parent inquiries about school-system financial policies and procedures.
  • Maintain school payroll records, including employee absence records in Oracle, non-certified staff timesheets, leave requests, payroll inquiries, and coordination with Compensation Services.
  • Serve as the human resources liaison for school staff by posting open positions, pulling Oracle reports, onboarding new staff, assisting with human resources problem-solving and information sharing, and directing employee needs to appropriate human resources teams.
  • Monitor the substitute system, check substitutes in, and report substitute status to the administrator.
  • Submit work orders as directed by the principal or assistant principal.
  • Assist with the master school calendar and schedule school-facility use as assigned.
  • Administer prescribed medication to students according to medical-professional directions as needed.
  • Serve as the front office coordinator.
  • Perform other related assigned duties.
Desired Qualifications
  • Associate’s degree in business or accounting from a regionally accredited college or university.
  • Bookkeeping or accounting experience within a school district or similar environment.
  • Fluent verbal and written English and Spanish skills.
  • Experience working with Oracle business applications.
