Requirements
  • A high school diploma or General Educational Development credential is required.
  • Three to five years of bookkeeping, accounts payable, data entry, or administrative support experience is required.
  • Demonstrated ability to perform a wide range of administrative and financial tasks in a dynamic, fast-paced environment.
  • Demonstrated organizational, time management, and planning skills, including the ability to prioritize multiple high-priority demands from different constituents.
  • Ability to interact with customers and handle sensitive data with tact and diplomacy.
  • Applicants must be currently legally authorized to work for Carnegie Mellon University in the United States.
  • Proficiency in Microsoft Excel.
Responsibilities
  • Process departmental purchasing card activities, including reconciliation.
  • Manage a significant volume of transactions on multiple purchasing cards with competing deadlines.
  • Communicate with purchasers and vendors to ensure compliance with university policies and procedures, including obtaining receipts, itemizing expenses, and applying tax exemptions.
  • Process purchase orders, invoices, journal entries, and expense reports for departmental accounts.
  • Coordinate and communicate with staff, students, external vendors, Accounts Payable, and Procurement Services.
  • Process accounts receivable, accounts payable, procurement, expense reports, purchase orders, journal entries, and redistributions within an assigned portfolio.
  • Pay invoices and reconcile purchase orders.
  • Ensure departmental compliance with relevant university financial policies and maintain complete documentation.
  • Serve as a liaison with internal financial services partners.
  • Perform other duties as assigned.
Desired Qualifications
  • A Bachelor's degree in Accounting is preferred.
  • Proficiency in Microsoft Excel is preferred.
